We are seeking a dedicated and detail-oriented Administrative Assistant to support our dental office operations. This role involves managing patient records, coordinating appointments, handling billing and insurance processes, and providing exceptional customer service to ensure a smooth and efficient clinic environment. The successful candidate will demonstrate proficiency in electronic health record (EHR) systems, dental coding, and healthcare compliance standards, contributing to the delivery of high-quality patient care. Responsibilities Excellent customer service and patient care skills Initiative, dependability, and a positive attitude! The ability to communicate effectively with patients, parents and staff Answer phones and check patients out when necessary Receive and seat patients Schedule appointments General administrative work Deal with insurance companies Manage patient scheduling using dental office management software, ensuring efficient appointment flow. Maintain accurate and complete electronic health records (EHR systems), including documentation review and data entry. Handle dental billing and collections, Verify insurance coverage, process claims, and follow up on unpaid accounts while adhering to HIPAA regulations for patient confidentiality. Assist with clinical documentation review, CPT coding, ICD-9/10 coding, and ensure proper documentation for care plans. Provide front desk support by greeting patients, answering phone calls with professional etiquette, and managing office correspondence. Support clinic operations through filing, data entry (including 10 key typing), and maintaining organized medical records. Collaborate with clinical staff to ensure accurate health information management and compliance with confidentiality policies. Demonstrate bilingual communication skills when assisting diverse patient populations to enhance service delivery. Qualifications Proven experience in a dental office environment with strong clerical and administrative skills Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel) and electronic health records management software. Excellent organizational skills with the ability to multitask efficiently in a fast-paced clinical setting. Exceptional customer service skills coupled with professional phone etiquette and communication abilities. Understanding of HIPAA regulations and clinical confidentiality policies to safeguard patient information. Clinic experience in dental or healthcare settings is advantageous; bilingual abilities are a plus to serve diverse patient populations
