Job Description

Position Summary The Administrative Operations Coordinator manages daily scale operations and supports office activities to ensure accurate transactions, smooth product flow, and excellent customer service. This role works closely with producers, drivers, operations teams, and office staff to keep operations running efficiently. Key Responsibilities Scale Operations Manage inbound and outbound scale transactions accurately and efficiently Process scale tickets, delivery receipts, grain contracts, and settlement paperwork Enter and maintain accurate data in scale and inventory systems Coordinate truck traffic flow to reduce wait times Identify and resolve discrepancies in weights, tickets, or documentation Perform grain grading and sampling Monitor grain quality and communicate any concerns Maintain compliance with DOT, FDA, and scale certification requirements Support equipment maintenance and calibration as needed Assist with inventory tracking, traceability, and audit preparation Coordinate with operations, dispatch, and grain merchandising teams Office & Administrative Support Answer phones and assist customers with deliveries, tickets, and account questions Support data entry, filing, invoice processing, and document management Assist with accounts receivable and billing accuracy Provide backup support for office team members Help maintain communication between office and operations teams Qualifications High school diploma or equivalent required Experience in agriculture, grain handling, or office operations is a plus Proficient with computers and Microsoft Office, especially Excel Strong attention to detail and organizational skills Excellent communication and customer service skills Ability to multitask and work in a fast-paced environment Reliable, adaptable, and team-oriented Ability to stand for extended periods Work Environment Office-based position Extended hours may be required during harvest and other peak seasons
