Job Description

Job Summary We are seeking a detail-oriented and proactive Administrative Support professional to join our team. The Administrative Support position supports the daily operations of the tax office by greeting clients, answering phones, organizing paperwork, managing appointment schedules, and assisting preparers and management with administrative tasks. This position requires strong attention to detail, skilled time management and multi-tasking, professionalism, good communication skills, and the ability to work efficiently in a fast-paced seasonal environment. This position is 40 hours per week, January through April, and 20 hours per week May through December. Duties Greet clients warmly and maintain a professional front desk atmosphere. Handle multi-line phone systems, directing calls appropriately while maintaining professional phone etiquette. Perform data entry, filing, and clerical tasks to support office management. Track Tax Returns through intake, preparation, pending info, completion, filing and follow up stages. Provide administrative support to multiple employees. Calendar management, scheduling and confirming appointments for multiple employees. Provide customer support by addressing inquiries and resolving issues promptly. Maintain organized records and documents using Microsoft Office applications. Maintain electronic and physical filing systems including scanning documents and other filing projects. Process payments, including making change, maintaining an income log and balancing deposits. Support the team with administrative tasks and special projects, as needed, including email and physical correspondence. Uphold confidentiality and compliance with IRS, Insurance, and company privacy standards. Experience Previous office experience is required. Ability to follow both written and verbal instruction. Proficiency in Microsoft Office Suite (Word, Excel) Strong organizational skills with the ability to manage multiple tasks effectively. Excellent typing skills with attention to detail for accurate data entry. Prior experience in administrative support roles is highly valued.
