About the
Role:
We are seeking a detail-oriented Sales Administrator with strong organizational and numerical skills to support our daily business operations. This role involves processing payments, onboarding customers, managing orders and credits, responding to inquiries, and providing oversight to a small team. The ideal candidate will be proactive, dependable, and able to balance multiple administrative responsibilities with accuracy and efficiency.Key Responsibilities:
- Process and reconcile payments in a timely and accurate manner.
- Onboard new customers, including verification of required licenses and documentation.
- Manage order processing, returns, and credits while maintaining accurate records.
- Process purchase orders, invoices, and follow up on client accounts.
- Respond to internal and external inquiries regarding invoices, payments, and account status.
- Assist with managing CRM systems, including entering client data and tracking leads.
- Provide administrative support across departments to ensure smooth business operations.
- Supervise and coordinate a small team (1 U.S.-based employee and 2 remote employees), offering guidance and ensuring tasks are completed on schedule.
- Prepare and maintain reports, records, and files as needed.
- Assist with identifying and implementing process improvements for greater efficiency.
Qualifications:
- Previous administrative or operations support experience required.
- Strong attention to detail and comfort working with numbers and financial transactions.
- Excellent organizational and multitasking skills.
- Strong communication skills for coordinating with internal teams, customers, and remote staff.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with CRM or order management/accounting software a plus.
- Ability to manage time effectively and work independently with minimal supervision.
