Company Description Superior Building Maintenance is a complete janitorial firm headquartered in San Carlos, California. The company provides full janitorial commercial services across the San Francisco Bay Area, including the South Bay, East Bay, and Contra Costa regions. Superior Building Maintenance is hiring for Admin position Role Description The Administrative position is a full-time, on-site role based in San Carlos, CA. This role is responsible for providing administrative support to office operations, including: Process monthly invoices and payments, Accounts payable, Report payroll, Manage job calendar Create and send estimates for commercial and residential prospects, managing correspondence, scheduling meetings, maintaining records, and preparing basic reports. The Administrative professional will handle incoming calls and inquiries, assist with customer service requests, and coordinate with field staff to ensure accurate information flow. Daily tasks may also include data entry, organizing documents, and supporting basic finance and billing activities. The role requires consistent attention to detail, effective time management, and collaboration with team members across departments. Qualifications Candidates should possess strong Communication and Customer Service skills to interact professionally with clients, vendors, and team members. Candidates should possess solid Analytical Skills to review information, identify discrepancies, and support accurate reporting and record-keeping. Candidates should possess Administrative Assistance skills, including scheduling, document management, data entry, and office coordination. Candidates should possess basic Finance skills to assist with billing, invoicing, and tracking payments. Proficiency with office software (e.g., email, word processing, spreadsheets) and ability to learn new systems quickly. Strong organizational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment. Prior administrative or office support experience, preferably in facilities, maintenance, or service-based industries, is beneficial. High school diploma or equivalent required; additional coursework or certification in business, administration, or related fields is a plus.
