Job Overview Position Summary:
The mission of the Boys & Girls Clubs of Santa Cruz County is to inspire and enable all young people, especially those who need us most, to reach their full potential as productive, caring, responsible citizens. We currently serve more than 1,500 youth per year across our three clubhouse locations in Downtown Santa Cruz, Live Oak, and the Joe & Linda Aliberti Clubhouse in Scotts Valley. The Director of Administration plays a key role in enabling us to deliver on our mission by providing leadership over a range of Human Resources, financial, compliance, reporting, and administrative responsibilities. The successful candidate will be a proactive, organized, and experienced nonprofit leader who is able to exercise sound judgement while juggling multiple-deadline-driven tasks. The Director of Administration serves as a member of the organization's leadership team, and is responsible for managing Human Resources, ensuring that the organization's financial records are maintained with accuracy, and overseeing a range of administrative activities. Key Responsibilities Conduct day-to-day bookkeeping, ensuring that accounts payable and receivable, bank deposits, petty cash, credit card usage and monthly account reconciliations are completed with accuracy. Partner with the Executive Director on budgeting, financial reporting, contracts, grant invoicing, data collection, tax filings, and annual financial audit. Be the go-to person for human resources questions and needs, including staff recruitment, hiring and exits, background checks, benefits enrollments, 1099's and payroll. Partner with the Area Director, Director of Program Quality, and Clubhouse Directors on the hiring, training, professional development, and review of Club employees and volunteers. Make fun things happen that bring our team together in both planned and spontaneous ways. Serve as a thought partner to the Executive Director, strategizing and/or leading on a range of projects related to organizational policies, insurance, fundraising, community connections, and support for the organization's Board of Directors. Ensure that our IT systems meet the needs of our team, including ongoing maintenance and replacement of hardware/software systems, as needed. Serve as an enthusiastic administrator of our organization-wide Salesforce-based membership management system, MyClubHub. Perform various tasks related to supporting programmatic and fundraising events as needed, and providing backup coverage to program staff from time to time. Our Ideal Candidate Is a seasoned nonprofit leader who understands the full range of behind-the-scenes responsibilities required to support impactful, mission-driven, human services work. Has extensive professional experience in a nonprofit human services, education, childcare or other youth-facing environment. Has 3+ years of financial management experience, including the ability to accurately interpret financial statements and conduct bookkeeping. Experience with QuickBooks a plus. Has deep knowledge of and experience with the principles and practices of human resources. Comfortable explaining policies with clarity and navigating sensitive conversations with diplomacy. Knows how to handle confidential information with professional discretion. Is confident using Excel, Google Workspace (Gmail, Calendar, Docs, Sheets), Zoom, mail merges, and online scheduling tools. Writes beautifully and is a stickler for good spelling and grammar. Bonus points if bilingual Spanish/English. Has a positive attitude, loves working in a team and balancing many priorities, and is just as comfortable interacting with youth, families and community members as preparing a spreadsheet. The ideal candidate will have the majority of the skills outlined in this job description. However, if you beautifully fit most, but not all, of the above, please apply anyway. In either case, be direct in your cover letter about your strengths and interests. Physical Requirements/Work Environment Ability to work significant hours at a desk. Boys & Girls Clubs are often active, noisy, and stressful environments. The Director of Administration will work in situations where many activities take place at the same time. Lift objects up to 25 pounds and carry for brief periods. The Boys & Girls Clubs of Santa Cruz County is an equal opportunity employer , and is committed to providing services and making resources available to every resident of Santa Cruz County without regard to ethnicity, color, creed, religion, age, gender, gender identity, sexual orientation, military status, marital status, political opinion, national origin, familial status, mental and physical disability, or source of income.
