Duties Manage scheduling and calendar coordination for leadership and team members to optimize productivity and meet deadlines Oversee vendor relationships, negotiate contracts, and ensure timely delivery of supplies and services Coordinate event planning activities including meetings, conferences, and company functions with attention to detail and professionalism Handle confidential information with integrity, maintaining privacy standards at all times Manage bookkeeping tasks using accounting software such as QuickBooks, including invoicing, expense tracking, and financial record keeping Support human resources functions like payroll processing, employee onboarding, and maintaining personnel records Prepare reports using Microsoft Office tools such as spreadsheets and presentations to inform decision-making Oversee office management tasks including filing systems, multi-line phone systems, and office supply inventory Facilitate communication between clients, vendors, and internal teams through professional client communication and phone etiquette Skills Proven experience in office administration or related roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and spreadsheets for data analysis and reporting Excellent organizational skills with the ability to manage multiple priorities efficiently Strong communication skills—both verbal and written—to interact effectively with clients, vendors, and team members Demonstrated supervisory experience with the ability to lead and develop a team Knowledge of event planning logistics from conception through execution Experience handling confidential information with discretion and professionalism Technical proficiency in office management tools such as multi-line phone systems and calendar management systems Ability to adapt quickly to changing priorities while maintaining attention to detail Customer service orientation with a friendly demeanor and professional phone etiquette Experience with Property Maintenance a plus.
