Position Summary:
The Company Administrator provides day-to-day administrative and operational support for the Mosesian Center for the Arts (MCA). This part-time position helps keep essentialanizational processes running smoothly, including routine financial administration, employee onboarding, office administration, and executive support. The position is designed for a highlyanized, detail-oriented person who enjoys keeping systemsanized, following through on recurring tasks, and helping a small nonprofit team work efficiently. This is a hands-on administrative role. Primarily an on-site position at the Mosesian Center for the Arts in Watertown, MA, the role supports day-to-dayanizational operations, and regular in-person presence is required. After the first three months of employment, a limited hybrid work arrangement may be discussed with the Executive Director based on the employee's responsibilities, performance, and the operational needs of MCA. Primary Responsibilities Financial Administration Working in coordination with the Executive Director, bookkeeper, and other staff as appropriate: Process routine bills, invoices, and payments and help ensure bills and rental client settlements are paid on time. Prepare and process renter and event settlements. Generate and send routine invoices. Assist with tracking accounts payable and accounts receivable. Maintain vendor information, W-9s, and related financial documentation. Organize financial documentation for the bookkeeper and Executive Director. Human Resources Administration Coordinate administrative onboarding for new employees. Collect required employment and payroll paperwork, initiate and track background checks, set up new employees in Paychex, and maintain routine employee information. Maintain confidential personnel records and onboarding documentation. Assist employees with routine benefits enrollment paperwork and direct moreplex questions to the appropriate provider oranizational leadership. Coordinate administrative offboarding tasks when employees leave MCA. Company Administration Maintainanizational files, records, forms, and administrative documentation. manage recurring administrative deadlines andanizational calendars. Coordinate office supplies and routine purchasing. Send recurring administrative reminders to employees and supervisors for payroll, timesheet, expense reimbursement, and credit card categorization. May be asked to assist with general IT coordination and troubleshooting. Support preparation of routineanizational documents. Provide administrative support for board andmittee meetings as needed. Executive Support Assist with scheduling and meeting coordination. Prepare meeting materials and take notes when requested. Provide light project management support for Executive Director initiatives. Assist withmunity outreach, partnershipmunications, sponsorship outreach, and other external relations projects as assigned. Assist in coordinating special projects for majoranizational initiatives. Operations & Systems Improvement Maintain and update basic administrative procedures and checklists. document recurring workflows so thatanizational processes are easy to follow. Create templates and simple systems that make routine administrative work more efficient. Assist with implementing administrative tools or process improvements identified by leadership and staff. Other Organizational Support Provide administrative assistance for occasionalanizational events and initiatives. Support cross-department administrative needs when capacity allows. Perform other reasonable duties and special projects as assigned by the Executive Director.
Qualifications:
Previous experience in administration, office management, executive support, nonprofit operations, or a related field. Stronganizational and time-management skills. Excellent attention to detail and ability to follow through on recurring tasks. Strong written and verbalmunication skills. Ability to handle confidential employee and financial information with discretion. Comfort working with spreadsheets, d documents, calendars, andmon office technology. Ability to work independently whilemunicating effectively with a small, collaborative team. Familiarity with Paychex, QuickBooks, Microsoft or similar software. Experience with employee onboarding or basic HR administration. Experience supporting an executive or senior leader. Interest in arts, culture, andmunity engagement.
