For more than 20 years, we've built our reputation on quality craftsmanship, strong customer relationships, and a commitment to continually improving the way we operate. We're seeking an experienced, highly organized Executive Administrator to work closely with company leadership and play a key role in both executive support and day-to-day business operations. This position requires more than traditional administrative skills. We're looking for someone who can anticipate needs, manage competing priorities, communicate professionally, and take ownership of important responsibilities without requiring constant direction. The right candidate will be comfortable moving between executive-level projects, operational coordination, customer communication, reporting, scheduling, and the countless details that keep a growing construction company moving forward. What You'll DoExecutive & Leadership Support As Executive Administrator, you'll work directly with company leadership to help manage priorities and keep important initiatives on track.
Responsibilities may include:
Coordinating executive schedules, meetings, appointments, and travel Managing communications and helping prioritize time-sensitive matters Preparing reports, presentations, agendas, and meeting materials Tracking action items and following up on deadlines and commitments Supporting company initiatives and high-priority projects Organizing information needed for leadership decisions Maintaining appropriate discretion when handling confidential company information Business Operations You'll also help coordinate the systems and processes that support daily company operations.
Responsibilities include:
Maintaining accurate information within CRM, QuickBooks, and other business systems Coordinating calendars, project deadlines, meetings, and company schedules Supporting payroll processing and related administrative functions Ordering materials, supplies, and other resources as needed Maintaining organized company records and documentation Identifying opportunities to improve administrative workflows and efficiency Helping ensure information moves accurately between leadership, office staff, sales, and production teams Customer & Team Communication Professional communication is an important part of this position.
You'll:
Serve as a professional point of contact for customers, vendors, employees, and other business partners Manage incoming calls, emails, and other communications Assist with customer questions and project-related communication Coordinate information between departments and company leadership Help maintain strong relationships throughout the customer experience Follow up on leads and assist with appointment scheduling when needed What We're Looking For The successful Executive Administrator will be someone who sees what needs to happen and takes the initiative to make it happen. We're looking for: Exceptional organizational and time-management skills Strong written and verbal communication Professional judgment and discretion Ability to prioritize multiple responsibilities in a fast-moving environment Strong attention to detail and accuracy Confidence working directly with company leadership Ability to work independently and take ownership of responsibilities Strong problem-solving and follow-through skills Comfort learning and using business technology and software A collaborative approach when working across departments A desire to improve processes rather than simply maintain them Experience in executive support, office administration, business operations, construction, project coordination, or a related field is preferred.
Compensation & Benefits Pay:
