- Camp Vacamas is seeking a dynamic and dedicated Assistant Director
- Conference & Retreats to join our year-round leadership team. This hands-on role is central to the success of our rental and retreat programs and is ideal for someone who thrives in a fast-paced, mission
- driven environment that blends hospitality, operations, and outdoor education.
Position Overview This position oversees all aspects of our camp rental operations, from booking and guest relations to kitchen oversight, programming logistics, and onsite support. You will be the primary point of contact for rental groups and a key player in maintaining the financial and operational strength of our conference and retreat offerings. This role requires strong interpersonal and organizational skills, a customer-first mindset, and the ability to lead across multiple domains—including sales, program delivery, emergency response, and administrative systems. Key Responsibilities Guest Services & Sales
- Serve as the primary liaison for all rental groups from inquiry through post visit follow
- up •Manage inbound and outbound sales efforts to increase bookings with schools, nonprofits, and community groups •Provide excellent customer service and build lasting relationships with clients •Conduct post-event follow-ups to ensure satisfaction and encourage repeat visits Operations & Logistics •Coordinate reservations, bookings, and schedules •Support daily kitchen operations and food service oversight during rental periods •Ensure smooth, safe delivery of on-the-ground programming, including ropes courses, archery, and other activities •Respond to in-season emergencies and provide real-time program support as needed •Collaborate with maintenance, kitchen, and program teams to ensure top-quality guest experiences Administrative & Financial •Manage program budgets and rental income tracking •Maintain accurate records of bookings, contracts, and communications •Work with leadership to align conference center goals with the organization's broader mission •Continuously assess and improve administrative systems and processes Qualifications •Experience in hospitality, camp leadership, program coordination, or a related field •Strong organizational and multitasking abilities •Excellent communication and customer service skills •Ability to manage both proactive planning and real-time problem-solving •Comfortable leading outdoor programming (training provided if needed) •Willingness to work a flexible schedule, including weekends during peak seasons •Passion for youth development and community-building through outdoor experiences
