Job Summary:

We are seeking a part-time Assistant Director to support the Executive Director in the daily operations of the Holmes County Foundation. This position is responsible for assisting with scholarship administration, financial and bookkeeping functions, donor and fund management, grantmaking activities, and general office operations. The Assistant Director will develop a comprehensive understanding of all Foundation systems, software, policies, and procedures to ensure organizational continuity and serve as a backup to the Executive Director when needed.

Essential Duties and Responsibilities:

Foundation Operations Assist with the day-to-day administration of the Foundation. Learn and maintain proficiency in all Foundation software platforms and operational systems. Help maintain organizational records, policies, and procedures. Assist with board and committee meeting preparation, materials, and follow-up. Respond to inquiries from donors, fundholders, scholarship recipients, nonprofit organizations, and the public when Executive Director is unavailable. Scholarship Administration Assist in the administration of scholarship programs from application through award distribution. Help in processing scholarship applications and supporting documentation. Assist with scholarship payment verification and distribution. Help in maintaining accurate scholarship records and reports. Financial Administration and Bookkeeping Assist with bookkeeping and financial recordkeeping. Process accounts payable, deposits, and other financial transactions. Reconcile financial records and assist with monthly reporting. Maintain confidentiality and accuracy in all financial matters. Grants and Fund Management Assist with grantmaking processes and documentation. Help maintain fund records and donor information. Prepare reports and correspondence for donors, fund advisors, and nonprofit partners. Organizational Continuity Cross-train in all major Foundation functions and responsibilities. Maintain knowledge of operational procedures to ensure continuity during staff absences or leadership transitions. Serve as a resource and backup for essential organizational functions. Assist the Executive Director with special projects and strategic initiatives as assigned.
