Job Title:
Firm Administrator Job Summary:
The Firm Administrator / Office Manager is responsible for overseeing the daily operations of the firm, ensuring efficient office management, and supporting administrative and financial functions. This role involves coordinating client communications, managing confidential information, and utilizing technical skills to streamline office processes. The ideal candidate will possess strong organizational abilities, proficiency in Microsoft Office, QuickBooks software, Document Management systems and experience in customer service and finance to support the firm's overall productivity and professionalism.
Duties:
AR/AP accounting functions using accounting software, including data entry, reconciliation, and financial record keeping. Third-party payroll processing Manage client communication professionally, maintaining positive relationships and addressing inquiries promptly. Utilize Microsoft Office tools, including Word, Excel, and Outlook, to prepare documents, spreadsheets, and correspondence. Maintain and update spreadsheets for various administrative and financial purposes. Manage confidential information with discretion and adhere to privacy protocols. Financial reporting as needed. Coordinate with team members to ensure office supplies are adequately stocked. Provide excellent customer service to clients, vendors, and internal staff. Support the implementation of office policies and procedures to improve efficiency Benefits administration; including insurance and retirement plan enrollments and annual renewals.
Skills:
QuickBooks experience Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong customer service skills with the ability to communicate effectively with clients and team members. Excellent organizational skills with attention to detail. Ability to manage confidential information responsibly. Technical proficiency in office management tools and software. Experience with CLIO a plus Strong interpersonal skills combined with a proactive approach to problem-solving.
