Position Overview The Administrative Director serves as the operational backbone of the firm's executive leadership team. Working directly with the founding partners and investment professionals, you'll manage executive operations, coordinate investor communications, oversee office administration, and support financial processes while ensuring the office operates efficiently. Key ResponsibilitiesExecutive & Administrative Leadership Manage complex executive calendars for senior partners Coordinate domestic and international travel arrangements Prepare executive correspondence and confidential communications Serve as the primary front-office professional, greeting investors, clients, and guests Organize board meetings, partner meetings, and investor events Coordinate meeting logistics, agendas, presentations, and materials Support multiple executives simultaneously while balancing competing priorities Operations & Office Management Oversee daily office operations and administrative functions Manage vendor relationships and office services Maintain CRM data and reporting (DealCloud experience is a plus) Coordinate special projects across the investment team Develop and improve administrative processes and workflows Investor Relations Support Assist with investor communications and correspondence Coordinate fundraising and investor-related administrative activities Prepare presentation materials and documentation Maintain confidentiality while working with sensitive financial information Finance & Accounting Coordination Preferred but not required: Expense reporting and reconciliation Accounts Payable and Accounts Receivable coordination Bank reconciliations Wire transfer coordination Working alongside outsourced accounting partners Supporting financial reporting processes Candidates with experience handling high-dollar financial transactions, wire transfers, or financial operations within investment firms, family offices, banks, accounting firms, or other financial services organizations are highly encouraged to apply.
