Job Description

Position Summary The Agency Services Manager is responsible for leading and overseeing the end-to-end Affiliate onboarding, licensing, contracting, and carrier appointment processes. This role ensures new Affiliates and their staff experience an efficient, accurate, and well-coordinated transition into ASNOA while maintaining compliance with licensing, E&O, contracting, and carrier requirements. The Agency Services Manager is also responsible for Carrier Management , including coordinating carrier introductions, overseeing carrier appointment submissions and confirmations, maintaining carrier representative and portal information, and ensuring carrier access and incubator codes are accurately established and maintained. This position works cross-functionally with State Partners, Sales, Principal Agency Partners, carrier representatives, internal departments, and Affiliates to ensure strong handoffs, clearly defined ownership, timely execution, and an exceptional Affiliate experience. As a people manager, this position is responsible for leading, managing, and holding the Agency Services team accountable for established processes, service levels, KPIs, and departmental goals. Key Responsibilities Agency Services & Affiliate Onboarding Manage the day-to-day workflows and priorities of the Agency Services department. Oversee all aspects of Affiliate onboarding from initial request through activation and continue to serve as a liaison throughout the Affiliate relationship. Manage service communications between Affiliates and Agency Services, ensuring requests are addressed accurately and timely. Oversee the processing and execution of Affiliate contracts. Manage licensing requirements, including entity, producer, resident, and non-resident licenses. Oversee background checks, E&O tracking, and other required Affiliate documentation. Ensure new Affiliate and Agency Services data is accurately maintained within HubSpot and other company systems. Establish clear handoffs and communication between Agency Services and other departments involved in the Affiliate lifecycle. Carrier Management & Appointments Manage the carrier appointment process by state from initial request through carrier confirmation. Coordinate carrier introductions and maintain strong working relationships with carrier representatives. Oversee carrier appointment status, writing codes, producer codes, incubator codes, portal access, and related documentation. Monitor outstanding appointments and establish appropriate follow-up and escalation procedures. Maintain accurate carrier representative, appointment, and access information. Identify and resolve carrier appointment or access issues that could impact Affiliate production. Mergers & Acquisitions Manage Agency Services activities associated with Affiliate mergers, acquisitions, ownership changes, and book transfers. Develop and maintain standardized M&A checklists and workflows to ensure a smooth transition. Coordinate carrier appointments and writing codes associated with ownership or entity changes. Ensure policy data and carrier business are transitioned to the appropriate codes. Work cross-functionally to identify and resolve outstanding M&A requirements. Team Leadership & Process Improvement Lead, manage, coach, and develop Licensing Coordinators, Specialists, Assistants, and the Licensing Coordinator Supervisor . Establish clear responsibilities, priorities, and performance expectations. Monitor workload and team capacity and adjust resources as needed. Conduct regular one-on-ones, performance reviews, and Quarterly Conversations. Coach employees, resolve conflicts, and hold team members accountable for results. Continuously identify opportunities to innovate and improve processes, SOPs, workflows, checklists, and daily tasks. Identify opportunities to leverage technology, automation, and AI to reduce manual work and improve accuracy. Establish and monitor departmental KPIs and service-level expectations. Maintain documented Agency Services Core Processes and SOPs. Key Measures of Success Performance will be measured through departmental KPIs including: Affiliate onboarding completion and time to activation Carrier appointments submitted and confirmed Appointment submission-to-confirmation turnaround time Percentage of carrier appointments completed within SLA Outstanding carrier appointment aging Licensing and E&O compliance Contract completion and accuracy M&A transition completion Affiliate service response and resolution times Data accuracy and completeness Team productivity and capacity Requirements & Skills Minimum 2 years of insurance licensing management experience . Minimum 3 years of insurance carrier appointment process experience . Previous leadership or supervisory experience. Strong understanding of business and insurance agency operations. Demonstrated leadership, coaching, and conflict-resolution skills. Ability to lead, manage, and hold a team accountable. Innovative and continuous-improvement mindset. Self-motivated with the ability to work independently and make sound decisions. Strong ability to prioritize multiple projects, deadlines, and operational needs. Excellent written and verbal communication skills. Excellent organizational and problem-solving skills. Strong attention to detail and commitment to data accuracy. Proficiency with Microsoft Office 365, Outlook, Word, Excel, and HubSpot . Experience with agency management, EOS, CRM, workflow, ticketing, or comparative rating systems preferred.
