Legacy Funeral Administrative Coordinator Job Description General Description:
Legacy Funeral Homes is a compassionate and family-focused funeral service provider committed to honoring every life with dignity and care. We are looking for a highly organized, dependable Administrative Coordinator who thrives in a fast-paced environment and enjoys helping people. This is a fast-paced administrative and customer-service role. If you are highly organized, good with people, and excellent at keeping multiple deadlines moving, we want to hear from you. This is primarily an administrative and customer-service position. You will work directly with families, answer phones, greet visitors, gather information, coordinate documents and printed materials, communicate with outside vendors and designers, and make sure details are completed accurately and on time. You do not need funeral service or event-planning experience. Strong administrative skills, excellent communication, good judgment, and the ability to manage multiple priorities are much more important. What You'll Do Answer phones and assist callers with questions and next steps. Greet families and visitors and provide professional, compassionate customer service. Show families our chapel and facilities when needed. Communicate with families by phone, email, and in person to gather information and keep projects moving. Serve as the liaison between families and designers for memorial materials, printed pieces, and other personalized items. Send files, upload documents and artwork to printers, place print orders, and coordinate pickup or delivery. Review information and materials for accuracy and completeness. Follow up with families when information, approvals, photos, or other items are still needed. Help guide families through established timelines and processes and professionally set boundaries when deadlines require it. Organize files, documents, photos, and information so everything needed for a service is ready when required. Handle general administrative duties, data entry, filing, scanning, emailing, and document preparation. Assist other team members and jump in where needed during busy periods. What We're Looking For The right person is: Extremely organized and detail-oriented. Comfortable working at a fast pace with real deadlines and urgency . Excellent at following through and making sure nothing falls through the cracks. Confident communicating with customers and families. Warm and compassionate while still being able to give clear direction and set appropriate expectations. Comfortable making phone calls and following up rather than waiting for someone else to respond. Able to prioritize multiple tasks and recognize what needs immediate attention. Comfortable with computers, email, file management, uploading documents, printers, and learning new software. Able to work independently while following established procedures. Dependable, flexible, and willing to help wherever needed. Schedule This is a full-time, Monday-Friday, 8:00 a.m.-5:00 p.m. position. Because of the nature of our work, there may occasionally be rush projects or weekend responsibilities when something is needed for an upcoming service. Some of this work may be able to be handled outside the office rather than requiring you to come in. Experience Administrative, office, receptionist, customer-service, scheduling, hospitality, medical-office, legal-office, banking, or similar experience is helpful. Funeral service experience is not required. We are primarily looking for someone who is organized, professional, comfortable dealing with people, and exceptionally good at getting things done.
