Job Summary We are seeking a detail-oriented and organized Financial & Administrative Coordinator to support the financial and administrative operations of our growing healthcare organization. This position will play an important role in maintaining accurate financial records, coordinating accounts payable and accounts receivable activities, monitoring recurring expenses and balances, preparing financial information, and coordinating with our bookkeepers, accountants, tax advisors, and internal billing team. The ideal candidate is comfortable working with financial information, highly organized, able to manage multiple priorities, and capable of handling confidential patient and business information with discretion. Healthcare or medical-office experience is strongly preferred. Key Responsibilities - Financial Operations Monitor accounts payable and accounts receivable activity and maintain accurate records. Track recurring business expenses, subscriptions, contracts, and other ongoing financial obligations. Review invoices, receipts, and supporting documentation for accuracy and proper coding. Assist with payment scheduling and vendor account management. Monitor outstanding balances and assist with accounts receivable follow-up. Perform or assist with bank, credit card, billing, and other account reconciliations. Prepare and maintain financial reports, spreadsheets, and management summaries. Assist with monthly and year-end financial close activities. Review profit and loss statements and identify unusual or inconsistent activity for management review. Assist with budgeting, expense tracking, and cash-flow monitoring. Coordinate with bookkeepers, accountants, tax advisors, and other outside financial professionals. Maintain organized financial documentation and records needed for tax preparation, reporting, and compliance. Administrative Support Provide administrative support to the billing team as needed. Assist with tracking claims, outstanding balances, denials, and insurance-related issues. Coordinate with patients, insurance companies, healthcare providers, and billing personnel to resolve account questions. Assist with reviewing billing information and identifying discrepancies or missing documentation. Maintain accurate information across billing, EMR/EHR, accounting, and other systems. Support day-to-day administrative operations of the healthcare organization. Assist with special projects, process improvements, and other operational initiatives as assigned. Compliance & Confidentiality Handle patient, financial, employee, and business information with a high level of confidentiality. Follow applicable healthcare privacy and security requirements, including HIPAA policies and procedures. Maintain accurate and organized documentation. Follow established financial, administrative, and operational procedures. Qualifications & Experience Required Strong organizational and time-management skills. Excellent attention to detail and accuracy. Proficiency with Microsoft Office, particularly Excel, Word, and Outlook. Ability to work independently while coordinating effectively with internal staff and outside professionals. Strong written and verbal communication skills. Ability to manage multiple priorities and meet recurring deadlines. Ability to handle confidential information appropriately. Experience working with financial records, invoices, expenses, or administrative operations. Preferred Prior experience in a medical office, healthcare organization, physician practice, or similar environment. Experience with accounts payable and accounts receivable. Familiarity with profit and loss statements and financial reporting. Experience with bookkeeping or accounting software. Experience with medical billing, healthcare claims management, and insurance procedures. Familiarity with EMR/EHR and medical billing systems. Understanding of medical coding terminology and classifications, including CPT, ICD-10-CM, and DRG. Project management or process-improvement experience. Experience coordinating with bookkeepers, CPAs, tax professionals, or other financial advisors. Pay:
$26.00 - $36.00 per hour Expected hours: 40.0 per week
