Job Title:
Project Administrative Assistant Job Description We are seeking a dedicated Project Administrative Assistant to support a data center project located in Mesa, AZ. This role involves providing essential administrative support onsite in a jobsite trailer, ensuring smooth daily operations. Responsibilities Greet visitors, determine the nature and purpose of their visit, notify employees of visitors as appropriate, and direct visitors to specific destinations. Assist with new employee equipment setup according to business needs. Provide routine administrative support including preparing expense reports and reconciling credit card statements. Process and distribute packages and mail, maintaining tracking logs. Distribute incoming communications and respond to routine requests. Track, order, and stock office supplies. Coordinate and order meals for team events and training meetings. Maintain jobsite conference rooms, ensuring they are organized and presentable. Manage break room supplies, ensuring they are stocked and maintained. Assist with project craft workforce onboarding, including i9 verification and OSHA card copies. Provide additional support to the client leadership team as needed. Order and manage parking passes, badges, and safety equipment. Set up and maintain site contact lists. Assist with G-Suite accounts and provide additional administrative support to the project team. Essential Skills Experience in construction administration. Proficiency in Microsoft Office. Ability to schedule meetings and coordinate projects. Experience with material procurement and safety orientations. Ability to manage RFIs and change orders. Additional Skills & Qualifications High school diploma required; a 4-year degree in a construction-related field is preferred. Ability to lift up to 40 lbs (cases of water, etc.). Must pass a 10-panel drug screening. Reliable vehicle required. Resides in East Valley. Work Environment The role is based onsite in a trailer located in Mesa, AZ, with working hours from Monday to Friday, 7:30 am to 4:00 pm, including a half-hour lunch break. There is an opportunity for overtime on Saturdays. The position involves a collaborative, dynamic environment with a focus on administrative support. Job Type & Location This is a Contract to Hire position based out of Mesa, AZ. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
