Reporting to the Director of Business Operations, the Administrative Coordinator provides essential administrative and program support for the El Camino Homeless Organization (ECHO). In this role, you will serve to support the operations and daily functions of ECHO by: 1) supporting administrative and office functions; 2) providing financial and data support; and 3) providing program and facility support to the broader team. As part of your role, you will help to maintain a welcoming and professional environment for our clients, staff, volunteers, donors, and community members. We are looking for someone who is passionate about engaging individuals experiencing homelessness with a trauma-informed approach, someone who takes initiative, has a strong work ethic, and has demonstrated strong technical and administrative skills. This is a full-time position, Sunday
  • Thursday 8:30am
  • 5:00pm, with flexibility to occasionally adjust hours depending on ECHO's needs.

Essential Duties & Responsibilities Administrative and Office Operations:
Performs administrative tasks, including but not limited to: filing, making copies, maintaining office cleanliness and organization, processing deposits, and special projects as assigned. Maintains organized filing systems for both electronic and paper records. Directs all inquiries to the appropriate team members daily
  • includes answering the main phone line and directing calls, voicemails, and website inquiries accordingly.
Answer the ECHO front door frequently throughout the day. Greet visitors and provide a welcoming and professional first point of contact for a variety of diverse people including clients, donors, volunteers, and community members. Maintains accurate and complete weekly staff meeting minutes and sends them to the team. Picks up and drops off mail for the organization. Prepares, edits, and formats documents, reports, and correspondence. Maintains adequate inventory on all office supplies and stationary products and places orders as needed. Ensures labels and documents are accurate and available to clients and staff (printing blank applications, donor slips and receipts, restocking business cards, printing bed lists, and printing bed labels) Assist with managing the Google calendars, including inputting the on-call schedule monthly and other tasks as needed. Collect and compile monthly board reports from staff. Create "Welcome Home" baskets for newly-housed clients as needed, including maintaining accurate inventory and ordering supplies.
Financial and Data Support:
Assists with HMIS client data entries on a daily basis. Assists with CenCal billing and tracking on a weekly basis. Assists HR Generalist with payroll processing (Including but not limited to: timecard review, report generation, etc.) Enters donation and donor information into donor database weekly and in a timely and accurate manner. Support development staff with database maintenance, including performing monthly audits for donor duplication, and other projects as needed. Assists Director of Business Operations with grant tracking in excel, copying receipts, and invoices. Assists Director of Business Operations with collecting and organizing monthly credit card receipts
Program and Facility Support:
Provide meal-time support, when needed. Maintains regular servicing and cleaning of ECHO vehicles. Assist other staff with special projects as approved by the supervisor. Assist residents with general requests when direct client services staff are unavailable
Miscellaneous:
Driving to meetings and events is a required duty for this position. Attend trainings that are pertinent to working with the unhoused population. Ensure confidentiality when handling sensitive information and documents. Other duties as assigned by the supervisor. Knowledge, Skills, Talents, & Abilities Client Care & Trauma-Informed Approach Provide respectful engagement to adults with histories of chronic homelessness, serious psychiatric disabilities, and co-occurring substance use disorders. Ability to provide culturally competent support to a diverse population, including those facing challenges in the areas of mental health, domestic violence, child welfare services and aging. Use de-escalation skills & trauma informed care approach when issues arise. Communication & Interpersonal Skills Excellent oral and written communication skills and the ability to interact with all departments/levels of the organization and outside third parties in a highly professional manner. Excellent time-management and organizational skills with the ability to work independently and take initiative. Professionalism, Judgment & Reliability Adaptability is essential in this role, as the dynamic and often unpredictable nature of a homeless shelter environment requires flexibility, sound judgment, and the ability to respond effectively to changing client and operational needs.

Organization, Initiative & Work Ethic The ability to work proactively, take initiative, and complete tasks independently with minimal supervision is essential to maintaining efficient operations and ensuring clients receive timely, consistent support. Must be flexible, friendly, and work as a team player. Assume ownership for accomplishing assignments, requests and tasks. Consistent and reliable attendance is essential in this role to ensure dependable, uninterrupted support and continuity of care. Excellent attention to detail is required for this role Technical & Administrative Skills Intermediate knowledge of Office Suite, including WORD, EXCEL, and PowerPoint. Intermediate knowledge with Google Suite, including Sheets, Docs, Calendar, etc.
Advanced Technical Experience:
Advanced experience in data entry, reporting, and navigating external agency platforms such as CenCal and HMIS. Strong ability to multitask without compromising quality, while meeting conflicting deadlines across diverse projects Bilingual Spanish speaking is a plus. $0.50 bilingual pay differential is provided. Employment is contingent upon meeting all job requirements. Education and/or Experience High School Diploma/GED or equivalent experience. At least three years of administrative experience. Minimum of one years' experience in non-profit/health and human services, or equivalent experience. Minimum of two years of data entry experience. Certificates, Licenses, Registrations Must possess a valid California Driver's License. Must have a reliable vehicle, clean driving record, and proof of insurance.
