Job Description

General Admin Assistance Answer phones, emails, and staff front customer service desk Assist with organization calendar internally and online Assist with conference and meeting room reservations Set up conference and meeting rooms, coordinate IT assistance if needed Print paperwork and sign-in sheets for Board and Committee meetings Interface with Board of Directors and Committees Keep Farm Bureau building presentable, including maintaining the "resource center" and bulletin board downstairs Coordinate lunch at monthly Board Meetings Order office supplies as needed Assist office manager with property maintenance Assist with light website editing including updating content Assist with formatting of weekly and as needed membership communications. As-needed program, event and office duties, as requested by Supervisor Maintain organizational contact lists and email distribution lists. General Membership Assistance Assist Members in renewing memberships via phone, online or by mail Process membership checks and transmittals to CAFB Assist with membership related events Respond to member questions and provide information about membership benefits and services. Maintain accurate membership records and contact information. Assist with membership communications, mailings, and outreach. Prepare membership reports and lists as requested. Support membership committee's recruitment and retention activities. Assist office manager with membership related tasks SDRILG Program Coordination Provide customer services through SDRILG email, phone calls and assist office walk-ins Enroll new members and assist in completing required compliance forms Assist members with enrollment transfers and Notices of Termination Invoice new members and renewal members Record payments for annual fees and deposit checks Notify members of quarterly self-inspection and annual report deadlines through e-newsletter and physical mailings when needed. Outreach to members who failed to submit annual report, quarterly self-inspection, and/or annual education requirement Work with website and database designers to keep site updated and relevant. Coordinate water education classes with SDRILG compliance consultant Assist Compliance Consultant with tasks related to the administration of FREP grant. As-needed program, event and office duties, as requested by Supervisor. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry. Strong organizational skills with the ability to multitask effectively. Excellent phone communication skills coupled with courteous phone etiquette. Bilingual abilities are highly desirable. Exceptional time management skills to prioritize tasks efficiently while maintaining attention to detail. Proven customer service experience with a friendly, professional demeanor at the front desk or in client interactions. Very strong "basic" computer skills is highly desired. Summary As an Membership & Program Administrative Coordinator, you will support daily office operations, ensuring smooth communication and efficient workflows. Reporting to the Policy & Government Affairs Director, you will leverage core skills in Microsoft Office, data entry, and front desk responsibilities to manage administrative tasks, coordinate calendars, and handle phone inquiries. Join our team to help maintain a well-organized, responsive office environment.
Schedule:
Approximately 20 hours per week, generally Monday-Thursday, 9:00 a.m.-2:00 p.m. We are open to discussing a flexible schedule for the right candidate.
Pay:
$26.00 - $28.00 per hour Expected hours: 20.0 per week
