On-site 4 days/week at The Enterprise Building Reports to: Executive Director / Grants & Development Manager About us IVETS, Inc. is the 501(c)(3) sister organization of Enterprise Technology Alliance — a 30-year-old international technology company. IVETS runs workforce training programs funded by federal, state, and foundation grants, delivered in partnership with community colleges, workforce boards, and ETA-family employers. Program graduates move into real careers in emerging technology, cybersecurity, datacenters, and applied AI. This role is the operational backbone of program delivery — scheduling, board support, participant intake, and nonprofit compliance. You will be the daily heartbeat of the mission. What you'll do Program scheduling and coordination . Cohort schedules, instructor bookings, participant communication, and space coordination at The Enterprise Building. Participant intake and support. Application processing, wraparound service coordination, retention outreach. Board support. Meeting logistics, minutes, packet preparation, committee coordination. Nonprofit compliance. IRS Form 990 prep coordination with CPA, state filings (CA AG, Secretary of State), and grant compliance tracking. Financial admin. Coordinate with bookkeeper on grant-restricted funds, program budgets, and expense allocations. Community outreach and partnerships. Coordinate with workforce boards, community colleges, employers, and referral partners. What you bring 2+ years in nonprofit administration or program coordination. You know how a 501(c)(3) actually runs. Scheduling superpowers. You can juggle 5 cohorts, 8 instructors, 3 board committees, and a facility calendar without dropping a thread. MS Office + Google Workspace. You are the person others come to when Excel gets weird. Warmth. Our participants have been through a lot. You treat every intake call like it matters — because it does. Attention to detail. Grant compliance depends on this seat being tight. Sloppy documentation = money back. Local roots. You live within 30 minutes of 92401 San Bernardino.
