Beer Garden is a high-energy, hospitality-driven venue in Norwalk, CT that hosts private events, corporate gatherings, celebrations, fundraisers, social events, and more throughout the year. We're looking for an organized, personable, motivated individual to join our Events team and help create a smooth experience for clients from their first inquiry through event day.
THE ROLE
The Event & Admin Coordinator will support private events, client communication, lead follow-up, event preparation, venue tours, administrative organization, and day-to-day office operations. You'll be one of the first points of contact for prospective clients, so we're looking for someone who is warm, confident, professional, and genuinely enjoys talking to people. This is a great role for someone who likes variety. One day may be focused on emails, proposals, spreadsheets, and event details. Another may involve giving a venue tour, helping prepare for an event, creating a flyer, or jumping in to solve a last-minute issue. You don't need to know everything on day one. We're looking for someone who learns quickly, asks questions, takes initiative, follows through, and cares about getting the details right.
WHAT YOU'LL DO
Client Communication & Sales Support Respond to incoming event inquiries and general guest questions by phone and email Answer initial questions about private events, packages, pricing, and availability Schedule and conduct venue tours for prospective clients Track leads and maintain consistent follow-up with prospective clients Assist with proposals, event materials, and booking information Help guide prospective clients from initial inquiry through confirmed booking Maintain a warm, responsive, and professional client experience throughout the process Send post-event review and feedback requests Event Coordination & Organization Assist with private events from initial inquiry through event completion Create, update, and maintain accurate BEOs (Banquet Event Orders) Prepare proposals, invoices, event documents, and other materials Maintain accurate guest counts, menus, packages, timelines, layouts, pricing, and special requests Make sure event updates are communicated clearly across management, kitchen, bar, service, and operations teams Assist with event preparation, setup, decorating, and themed events when needed Anticipate potential issues and help find solutions before they become problems Keep event files, documents, and information organized and up to date Marketing & Creative Support This role will also have the opportunity to learn and assist with 314's marketing efforts. Assist with flyers, menus, event collateral, and promotional materials Learn Canva and other marketing tools as needed Help brainstorm creative ideas for events, seasonal promotions, and campaigns Assist with organizing photos, videos, and digital content Support marketing initiatives designed to increase private event bookings and overall venue awareness Review materials for accuracy and consistency with the 314 brand Administrative Support Help keep event files, client information, calendars, and office systems organized Assist with spreadsheets, invoices, pricing, and event totals Answer incoming phone calls and direct questions appropriately Support the Events team with day-to-day administrative needs and special projects

QUALIFICATIONS
Preferred experience and skills: High school diploma or equivalent Customer service, hospitality, administrative, or office experience Strong written and verbal communication skills Comfortable using Microsoft Office and/or Google Workspace Comfortable working with spreadsheets and basic numbers Event, hospitality, sales, or marketing experience is a plus, but not required

Pay:
$25.00 - $30.00 per hour Expected hours: 40.0 per week
