Position Overview:
We are seeking a reliable, organized, and welcoming Administrative Assistant / Office Coordinator to join our team. In this role, you will serve as the primary face and voice of our company—greeting incoming customers and handling phone calls—while managing essential behind-the-scenes office operations, including vendor pricing, inventory ordering, and administrative support.
Key Responsibilities:
Customer Relations:
Warmly greet office visitors, answer incoming phone calls, address customer inquiries, and route messages to the appropriate team members.
Ordering & Purchasing:
Coordinate with suppliers and vendors to request price quotes, compare costs, place material orders, and track shipments to ensure timely delivery.
Pricing & Documentation:
Help log material costs, organize invoices, prepare basic estimates, and maintain accurate inventory pricing files.
Office Support:
Maintain an organized front desk and office space, file documents, manage incoming/outgoing mail, and assist with general clerical tasks as needed.
Qualifications & Skills:
High school diploma or equivalent. 1+ years of experience in an administrative support, office assistant, or front desk customer service role. Strong written and verbal communication skills with a professional, customer-focused demeanor. High attention to detail with comfortable basic math and organization skills (handling pricing, vendor receipts, and material numbers). Proficiency with Microsoft Office (Word, Excel) or Google Workspace, and basic email/computer skills. Ability to work the required schedule consistently.
