FUNCTION
The Parish Administrator provides essential administrative, communication, records management, and ministry-support services for the parish. This role serves as a welcoming first point of contact for parishioners, visitors, school staff, diocesan representatives, volunteers, vendors, and community partners. Working closely with the Rector and parish staff, the Parish Administrator helps ensure that parish operations, communications, liturgical planning, volunteer coordination, and record keeping are organized, accurate, timely, and aligned with the mission and ministry of the Episcopal Church.
ESSENTIAL RESPONSIBILITIES
Parish Administration & Office Support:
Manage daily office operations, correspondence, calendars, records, supplies, meetings, events, and administrative support for clergy, staff, Vestry, and ministry leaders.
Records & Database Management:
Maintain accurate parishioner, sacramental, membership, directory, mailing, and ministry records; prepare certificates, reports, rosters, and diocesan documentation.
Communications:
Serve as a central communication link among parishioners, clergy, staff, school personnel, volunteers, ministry leaders, and the diocese; prepare and distribute parish communications.
Worship & Liturgical Support:
Coordinate administrative details for worship services and special liturgical events; manage bulletins, schedules, participant information, calendars, and seasonal worship logistics.
Volunteer Coordination:
Maintain volunteer rosters and schedules, communicate assignments and reminders, and support volunteers with information and materials.
Diocesan & School Coordination:
Manage administrative communication and reporting with diocesan offices and coordinate shared parish/school activities, schedules, facilities, and requirements.
Confidentiality & Compliance:
Safeguard pastoral, personnel, financial, and parishioner information and follow parish, diocesan, and record-keeping requirements.
SECONDARY RESPONSIBILITIES
Assist with parish events, receptions, meetings, and special activities. Support website, social media, newsletters, and digital communications. Proofread and format bulletins, flyers, letters, reports, and other materials. Assist with stewardship, pledges, membership, annual reports, and Parochial Report preparation. Support volunteer recruitment, training, safeguarding compliance, and appreciation. Assist with diocesan conventions, training, visitations, and special events. Recommend improvements to office procedures, databases, communication systems, and administrative workflows. Learn and use church management software, parish databases, website tools, newsletter platforms, and other technology. Provide general administrative assistance and respond to phone calls, emails, visitors, and inquiries as needed. Apply!
