Job Overview The West Palm Beach Housing Authority (WPBHA) is seeking a highly motivated and detail-oriented full-time Administrative Coordinator to support the Executive Director and serve as a vital member of the administrative team. This position provides a wide range of administrative support services to the WPBHA, including the purchasing of supplies, as well as ensuring the smooth operation of all office areas. Duties Serve as the front desk receptionist, greeting visitors and managing multi-line phone systems with professionalism and courtesy. Handle incoming calls with excellent phone etiquette, directing inquiries to appropriate staff members and providing customer support as needed. Manage calendar appointments, schedule meetings, and coordinate office events to ensure efficient time management for staff. Perform data entry, maintain accurate filing systems, and oversee document proofreading to uphold quality standards. Utilize computer skills with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations. Oversee office management tasks such as supply inventory, equipment maintenance, and organization of office spaces. Support bookkeeping activities using QuickBooks or similar software for basic financial recordkeeping. Qualifications Bachelor's degree or equivalent combination of education and experience. Proven experience in office management or administrative roles with strong clerical skills. Excellent organizational skills with the ability to prioritize tasks effectively. Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Gmail, Calendar). Strong computer literacy including data entry, proofreading, and document formatting. Exceptional customer service skills coupled with professional phone etiquette. Ability to handle confidential information discreetly while demonstrating strong time management skills.
