Position Summary Front Desk - Administrative Coordinator - 100% onsite Reporting to the Controller, the Administrative Coordinator provides administrative support to Accounting, Human Resources, Construction Operations, and Senior Leadership. As the Front Desk representative and first point of contact, this role creates a professional, friendly, and service-oriented experience for visitors, vendors, and employees while supporting daily office operations. The ideal candidate is organized, detail-oriented, technology-savvy, and committed to delivering excellent customer service and team support.
Hours:
9am - 5pm, Monday - Friday Key Responsibilities Support daily office operations and reception activities. Primary for answering incoming calls, receiving packages, and welcoming guests. Provide administrative assistance to Accounting, Human Resources, Construction Operations, and Senior Leadership. Maintain fleet and asset records, assist with vehicle registrations, and help keep driver information up to date. Assist with company mobile device administration, including setting up new phones and maintaining records. Coordinate service requests for facilities, office equipment, and technology issues, and follow up with vendors as needed. Help schedule vendor visits and maintain communication regarding office-related projects and maintenance activities. Coordinate travel arrangements, meetings, conference room reservations, and company communications. Prepare routine reports and maintain business records and filing systems. Generate standard reports in Paycom and other business systems. Assist with employee engagement activities, company events, team lunches, and employee recognition efforts. Support the maintenance of business licenses, certificates of insurance, and compliance tracking records. Process incoming and outgoing shipments and maintain office supply inventory. Perform other administrative and office support duties as assigned. Preferred Qualifications 1-3 years of administrative, office support, customer service, or coordinator experience. Proficiency in Microsoft Office (Outlook, Excel, Word, and Teams). Strong organizational skills and attention to detail. Good written and verbal communication skills. Ability to manage multiple tasks and prioritize effectively. Comfortable learning new software and technology tools. Positive attitude and willingness to assist across departments.
Pay:
From $20.00 per hour Expected hours: 35.0 - 40.0 per week
