POSITION SUMMARY
The Order & Administrative Coordinator supports the daily operation of the business across order processing, shipment tracking, purchasing, invoicing, and service coordination. The role calls for consistent follow-through on a high volume of open items, regular contact with customers, vendors, and carriers, and the judgment to resolve issues before they reach the customer.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Process customer orders and prepare order confirmations Communicate with customers, vendors, and shipping companies by telephone and email Track inbound and outbound shipments and follow up on delays Verify that all required shipping and compliance documentation is complete prior to the arrival of shipments Place purchase orders, maintain customer and vendor records, and order office supplies Enter bills and invoices, follow up on outstanding balances, and process credit card payments Coordinate service and repair documentation and follow up with the Service Department Perform general data entry and administrative support as required
REQUIRED SKILLS AND ATTRIBUTES
Organization and attention to detail. Accuracy in orders, invoices, and shipping documentation is essential to the role. Strong follow-up. Ability to track open items through to completion without prompting. Prioritization. Ability to manage multiple active orders, shipments, and service requests concurrently. Professional communication. Clear written and verbal contact with customers, vendors, and carriers. Sound judgment. Ability to identify problems and propose solutions prior to escalation. Dependability. Consistent performance and a willingness to learn new software and processes.
QUALIFICATIONS
High school diploma or equivalent; [1-3] years of experience in an administrative, customer service, order entry, or logistics role Proficiency in Microsoft Outlook, Excel, and Word Experience working within web-based shipping and vendor portals
PREFERRED QUALIFICATIONS
Experience with an ERP or order-entry system; GSI operates on NetSuite Background in distribution, manufacturing, or industrial products Familiarity with freight, customs, or safety data sheet (SDS) documentation Graphic Solid Inks (GSI) is an equal opportunity employer.
