Job Description

The Administrative Assistant for the Office of Student Life provides high-level administrative and operational support to Student Life, Career Development, and Recreation Services. This role serves as a central point of coordination for daily office operations, communication, scheduling, and record management, ensuring smooth and efficient support for programs, staff, and students. Committed to the mission of Olivet Nazarene University, the Administrative Assistant contributes to a welcoming, organized, and student-centered environment by supporting departmental workflows, assisting with events and initiatives, and providing excellent customer service to students, staff, and campus partners. This position requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities across interconnected functional areas. Administrative & Office Support Provide administrative support for the Office of Student Life, Career Development, and Recreation Services, including scheduling, correspondence, document preparation, and record management. Serve as the primary point of contact for the office, responding to inquiries from students, staff, and campus partners in a professional and welcoming manner. Maintain calendars, meeting schedules, and shared resources for professional staff and departmental operations. Communication & Coordination Assist with internal and external communications, including email correspondence, forms, announcements, and informational materials. Coordinate logistics for meetings, trainings, and events, including room reservations, technology needs, and materials preparation. Student & Program Support Support student-facing services by assisting with appointment scheduling, check-ins, and general inquiries related to Student Life, Career Development, and Recreation. Assist with tracking participation, documentation, and reporting for programs and services. Assist with purchasing, reimbursements, and basic budget tracking in coordination with department leadership. Maintain organized digital and physical filing systems in alignment with university policies. A lifestyle in agreement with the ONU Statement of Mission, Faith, and Lifestyle Covenant . Commitment to the mission and values of Christian higher education. Strong organizational, communication, and time-management skills. Ability to manage multiple priorities with accuracy and attention to detail. Professional discretion and ability to handle sensitive information. Proficiency with Microsoft Office and comfort learning new systems . Commitment to Christian higher education and the mission of Olivet Nazarene University. Demonstrated leadership experience in recreation, wellness, student development, or a related field. Strong relational skills with the ability to mentor student staff and build collaborative partnerships. Organizational and strategic planning skills, with attention to both daily operations and long-term growth. Interest or experience in fundraising, grant writing, or advancement work related to student programs.
EDUCATION
Bachelor's degree preferred.
WORK ENVIRONMENT
Located on the main campus of Olivet Nazarene University in Bourbonnais, Illinois, in the Perry Student Life and Recreation Center. Long exposure to computer display. Standard office environment. No major sources of discomfort.
SUPPLEMENTAL INFORMATION
The salary for this position is $16.50 per hour and is based on experience and education level.
