Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Coordinator to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support across various departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Administrative Coordinator, you will manage administrative tasks, coordinate schedules, handle correspondence, and serve as a key point of contact for internal and external stakeholders. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems efficiently to handle inquiries, route calls, and provide customer support. Maintain organized filing systems, data entry records, and ensure accurate document proofreading. Oversee calendar management for meetings, appointments, and events using Google Workspace or Microsoft Office tools. Assist with bookkeeping tasks using QuickBooks or similar accounting software to support office management activities. Provide clerical support including typing correspondence, preparing reports, and performing general office management duties. Support customer service efforts by responding promptly to inquiries and ensuring a positive experience for clients and visitors. Coordinate office supplies procurement, manage inventory levels, and ensure the office environment is well-maintained. Handle confidential information with discretion while maintaining high standards of organization and efficiency. Support personal assistant tasks such as scheduling travel arrangements or managing special projects as needed. Experience Proven experience in an administrative or clerical role within an office setting is required; previous experience as a receptionist or medical/dental receptionist is highly desirable. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry skills. Familiarity with QuickBooks or bookkeeping software is preferred. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Demonstrated customer service skills with a professional demeanor and strong phone etiquette. Bilingual abilities are a plus to assist diverse client needs. Experience managing multi-line phone systems, calendar coordination, filing systems, and proofing documents will set candidates apart. Prior office management experience combined with personal assistant or medical/dental receptionist background enhances suitability for this role. Knowledge of time management techniques ensures deadlines are consistently met while maintaining quality work. $48,000.00 per year
