We are seeking a detail-oriented Finance and Administrative Coordinator to join our small-team manufacturing environment. This hands-on, process-driven role focuses on executing repeatable daily, weekly, and monthly transactional and administrative tasks. You will handle invoicing, billing, cash flow, payables, payroll, HR administration, compliance, and light analysis supporting project-based operations. This role is ideal for someone who thrives on accuracy, routine, and contributing to a collaborative, people-first company.
Finance & Operations Responsibilities:
Process customer invoicing and progress billing. Manage accounts receivable (A/R), accounts payable (A/P), and daily cash management.
Process and review payroll:
timecard review, time and attendance tracking, ensure timely submission and compliance. Track PTO/vacation balances. Execute monthly and quarterly close routines: prepare basic reports, reconcile key accounts, and support budget tracking.
Support administrative operations:
insurance coordination, facility expenses, and process documentation and improvements. Handle ad-hoc requests special projects as directed by leadership. HR & Benefits Administration Employee onboarding: draft offer letters from templates, collect new-hire paperwork, set up payroll and benefits, and manage orientation logistics.
Employee offboarding:
draft termination letters (ownership approval required), coordinate final pay, benefits COBRA, equipment return, and exit documentation. Maintain employee records and coordinate benefits administration Manage life insurance policies and 401(k). Handle day-to-day HR transactional questions from employees (leave requests, benefits questions, pay questions. Coordinate new-hire physicals and post-accident medical reports with occupational-health providers. Compliance & Reporting Regulatory filings: workers' compensation, unemployment, Illinois sales tax data preparation (filing handled by the company's tax accountant). 1099-
NEC:
annual generation and distribution to vendors by January 31; coordinate W-9 collection throughout the year. Maintain required postings and documentation (wage-and-hour, EEO, workers' comp); support OSHA reporting as directed by the safety lead. Support internal and external audit requests with timely documentation and records.
