Office Assistant / Administrative Coordinator

Job Description

Key Responsibilities Administrative Duties Maintain organized paper and digital filing systems Answer phones and direct calls professionally Manage incoming and outgoing mail and email correspondence Schedule appointments and coordinate meetings Assist with office supply inventory and ordering Keep office records organized and up to date Bookkeeping & Accounting Enter invoices, bills, and payments into QuickBooks Process customer payments and vendor invoices Balance accounts and reconcile bank and credit card statements Assist with accounts payable and accounts receivable Prepare financial reports for management as requested Maintain accurate financial records Organization & Executive Support Help prioritize tasks and keep management organized Track projects, deadlines, and follow-up items Maintain calendars and reminders Organize important documents and business records Assist with preparing estimates, proposals, and reports Data Entry & Research Enter and maintain accurate company data Research vendors, products, pricing, permits, and industry information Compile reports and spreadsheets Verify information for accuracy and completeness General Office Support Assist with customer service inquiries Coordinate with vendors and subcontractors Maintain confidentiality of company and financial information Perform other administrative duties as assigned
Pay:
$14.00 - $18.00 per hour
