Administrative Coordinator Louisville Downtown Partnership - 5.0 Louisville, KY Job Details Full-time $22 - $28 an hour 23 hours ago Benefits Health insurance Paid time off Flextime Retirement plan Qualifications Confidential information handling Content editing Executive administrative support Data entry Business Administration Business Associate's degree Full Job Description Position Summary The Administrative Coordinator is responsible for the administrative operations of the office, and with staff support. Primary responsibilities include serving as the front office point of contact, answering phone calls, managing day-to-day office tasks, assisting with Board & Committee management and providing general support for staff members. Required in office Monday through Friday, 8:30 am - 5:30 pm. Occasional assistance with evening/weekend events may be requested with the opportunity to flex time. Essential Duties and Responsibilities The essential functions include, but are not limited to the following:
  • Handle general office support, mailings, data entry and document scanning.
  • Answer the main office phone line and direct calls to the appropriate staff or gather information from the caller for the staff member to address when available.
  • Route mail, paperwork, and deliveries to the appropriate parties.
  • Greet and direct visitors to the appropriate areas.
  • Maintain up-to-date physical and digital filing systems for Boards and Committees, administrative items, and fundraising information.
  • Handle routine office administrative duties, including managing office equipment, maintenance, and phone system administration.
  • Maintain and order office supplies for the organization.
  • Assist with donor management by helping prepare thank you and renewal letters, sponsorship agreements, and updating online donor management software.
  • Provide administrative support to the Executive Director & Deputy Director; assisting with meeting scheduling, material prep and travel arrangements.
  • Provide support to the Director of Research, primarily with the collection of data from various Downtown businesses, organizations, and attractions.
  • Assist the Deputy Director with Board & Committee management. Responsibilities include taking notes, compiling, and sending meeting minutes, facilitating logistics such as scheduling meetings and any needed catering, sending reminders, and preparing information packets for the meetings.
  • Provide occasional assistance with LDP events; including general material prep and onsite assistance.
  • Monitor and direct inbox for subscriptions; route communications to proper personnel.
  • General errands including bank deposits and post office mailings.
  • Perform other duties as assigned related to the position description herein. Qualifications and Requirements
  • Associates Degree in Business Administration or related field preferred (2-3 years administrative experience may be substituted for requirement).
  • Must have excellent computer skills, including Microsoft Office products such as Excel, Word, and Outlook.
  • Must have strong interpersonal skills and the ability to project a professional image.
  • The ability to accurately proofread and edit documents is required.
  • Excellent organizational skills with the ability to work methodically, accurately, and neatly.
  • Accurate and timely completion of projects and/or reports.
  • Require ability to maintain company information in a confidential manner.

Pay:
$22.00 - $28.00 per hour
