Job Description

The Administrative Coordinator is a key member of the team, providing administrative and operational support across all departments of our offices (Executive Leadership, HR, Recruiting, Operations, Accounting, QHSE, Sales, and Logistics). This role manages front-office activities, including multi-line phones and daily office opening and closing procedures, while supporting a variety of business functions and special projects. We are seeking an organized, professional, and tech-savvy individual who values confidentiality, embraces new technologies, and thrives in a fast-paced environment. Key Responsibilities Manage front-office operations, including multi-line phones, visitors, and office opening/closing procedures. Provide administrative support to Executive Leadership and assist with special projects. Coordinate schedules, meetings, luncheons, communications, reports, and business documentation. Support HR functions, including onboarding, personnel records, employee communications, benefits administration, and company newsletters. Coordinate, manage, and process payroll for third-party contract personnel and maintain associated records. Assist with operations, logistics coordination, vendor communications, and process improvement initiatives. Support accounting activities, including invoice processing, expense tracking, and recordkeeping. Assist with QHSE compliance, training records, certifications, and vessel documentation. Maintain strict confidentiality when handling company, employee, client, and financial information. Qualifications Associate or Bachelor's Degree preferred Strong organizational, communication, and multitasking skills. Professional demeanor and excellent interpersonal abilities. Experience or willingness to support multiple business functions. Proficiency with Microsoft 365 and the ability to learn and utilize AI-powered business tools. Strong attention to detail, problem-solving skills, and sound judgment. Ability to work independently, take initiative, and collaborate effectively across multiple departments. Self-starter mindset with a willingness to learn, adapt, and contribute wherever needed. Pay:
$45,000.00 - $60,000.00 per year
