Job Description

Overview Office & Administrative Coordinator Position Type:
Full-Time, In-Office only
Hours:
40 hours per week
Location:
In-Office Position Overview We are seeking a highly organized, dependable, and detail-oriented Office & Administrative Coordinator to support the day-to-day administrative operations of our company. This position will be responsible for maintaining important company records, coordinating licenses and insurance, assisting with financial and administrative tasks, organizing contracts and files, and helping keep the office running efficiently. The ideal candidate is someone who takes initiative, stays organized, follows through on tasks, and is comfortable managing multiple responsibilities and deadlines. This is a hands-on position that requires strong attention to detail, confidentiality, communication skills, and the ability to prioritize competing tasks. Key ResponsibilitiesLicenses, Compliance & Insurance
  • Maintain and organize company and store licenses and permits.
  • Track license renewals, expiration dates, and required documentation.
  • Assist with personal property tax filings, documentation, and deadlines.
  • Maintain company insurance records and certificates.
  • Assist with insurance renewals, requests, quotes, and documentation.
  • Maintain organized records for company vehicles and automobile insurance.
  • Coordinate with insurance brokers, vendors, municipalities, and other outside contacts as needed. Administrative & Financial Support
  • Assist with American Express account administration, documentation, and expense-related tasks.
  • Prepare and organize quotes, purchase orders (POs), and related documentation.
  • Assist with contracts, vendor agreements, franchise agreements, and other business documents.
  • Track important documents, deadlines, renewals, and outstanding items.
  • Communicate with vendors, landlords, insurance companies, municipalities, and other business partners.
  • Provide general administrative support to management and the office. File & Document Management
  • Organize and maintain physical company files.
  • Maintain an organized computer-based filing system.
  • Scan, save, label, and organize important documents.
  • Ensure documents are stored in the appropriate location and are easy to retrieve.
  • Maintain confidentiality of company and employee information. Office Operations
  • Open, sort, and distribute incoming mail.
  • Receive, organize, and distribute packages and deliveries.
  • Assist with outgoing mail and shipments.
  • Maintain an organized and professional office environment.
  • Perform light office upkeep and help ensure common areas remain clean and organized.
  • Order or monitor office supplies as needed.
  • Assist with general office projects and administrative tasks. General Responsibilities
  • Provide support to management and other departments as needed.
  • Take ownership of assigned projects and follow them through to completion.
  • Help identify outstanding administrative items and bring them to management's attention.
  • Maintain accurate records and meet important deadlines.
  • Handle confidential information with professionalism and discretion.
  • Perform other administrative duties as assigned. Qualifications
  • Previous administrative, office management, bookkeeping, operations, or similar experience preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, email, and computer-based filing systems.
  • Ability to learn and work with various software and company systems.
  • Ability to manage multiple tasks and deadlines.
  • Professional, dependable, and self-motivated.
  • Ability to work independently while also working effectively as part of a team.
  • Strong follow-through and problem-solving skills.
  • Must be comfortable handling confidential and sensitive business information. What We Offer
