About Child Therapy Boston Child Therapy Boston is a growing mental health practice serving children, adolescents, and families across our Needham, Sudbury, and Belmont locations. We are seeking a friendly, organized, and dependable Administrative Coordinator to support our families and the day-to-day administrative needs of our practice. This position is an excellent opportunity for someone who enjoys working with people, staying organized, and being part of a collaborative team. The Administrative Coordinator will be an important first point of contact for families and will help ensure that our offices and client experience remain welcoming, organized, and professional. Responsibilities Answer incoming phone calls and respond to client and family emails in a timely and professional manner. Provide excellent customer service to clients, families, visitors, clinicians, and coworkers. Respond to routine questions about practice services, policies, scheduling, and procedures. Assist with initial screening of prospective clients and determine whether they appear to be an appropriate fit for the practice based on established guidelines. Assist with matching prospective clients with appropriate clinicians based on availability, location, age, and identified needs. Provide referrals and outside resources to prospective clients who are not an appropriate fit for the practice. Assist with scheduling, intake coordination, follow-up, and new client onboarding. Help maintain and follow up on prospective client and waitlist information. Use practice management and administrative software, including SimplePractice, Outlook, OneDrive, Word, and Excel. Maintain accurate client and administrative information and handle confidential information appropriately. Help keep all office spaces clean, organized, stocked, and welcoming, including waiting areas, common spaces, game rooms, and clinician offices. Monitor office supplies and communicate when items need to be ordered or replaced. Assist with basic office organization and daily office readiness. Participate in staff meetings and collaborate with clinicians and administrative staff. Assist the Practice Manager with administrative tasks, projects, and other duties as needed.
Qualifications Required:
High school diploma or equivalent; college degree preferred. At least 2-4 years of administrative, customer service, healthcare, or related experience. Excellent communication and customer service skills. Strong organizational skills and attention to detail. Ability to manage multiple tasks and priorities. Professional, friendly, and empathetic communication style. Basic to intermediate computer skills and comfort learning new software. Proficiency with Microsoft Outlook, Word, and Excel. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to work independently while also being a collaborative team member. Flexibility and willingness to assist with a variety of administrative tasks. Ability to work in person Monday-Friday, 9:00 AM-5:00 PM across our Needham, Sudbury, and Belmont offices.
Preferred:
Experience working in a healthcare, pediatric, behavioral health, or mental health setting. Experience working with children and families. Experience with electronic health records or practice management software, particularly SimplePractice. Familiarity with healthcare referrals or scheduling.
