Job Summary
SUPERVISORY EXPERIENCE IN A PHYSICAN OFFICE REQUIRED
The Medical Office Administrative Supervisor provides day-to-day leadership and oversight of front office operations. This position is responsible for ensuring exceptional patient experiences, efficient proactive smart scheduling and registration workflows, staff development and oversight, and consistent execution of departmental policies, operational standards, compliance, government laws and regulations. This position serves as the primary resource for front office staff, partnering closely with management, providers, billing and administrative leadership to promote efficient operations and high-quality patient care.
Qualifications Essential Responsibilities:
This position is a hands-on working supervisor Provides day-to-day supervision of front office staff. Assigns, prioritizes, and monitors daily workflow to ensure efficient front office operations. Coaches, mentors, and develops staff through ongoing feedback and training. Participates in recruitment, interviewing, onboarding, orientation, and competency assessment of new employees. Assists the Practice Manager with performance evaluations, attendance management, scheduling, and corrective action. Ensures appropriate staffing coverage and adjusts assignments based on clinic needs. Serves as the first point of escalation for operational and staff concerns. Serves as the departmental subject matter expert ("Super User") for scheduling, registration, electronic health record, patient portal and other front office applications including troubleshooting telephones and computer issues. Monitor front office budget, expenses, and inventory; implement cost-saving measures Promotes accountability, teamwork, and a positive patient-centered culture. Performs other duties and projects as assigned to support the operational needs of the practice. Knowledge, Skills & Abilities Strong knowledge of practice operations, scheduling, registration, insurance, referrals, verification, medical records, and patient access workflows. Demonstrated leadership, coaching, and team development skills. Excellent organizational, communications skills, problem-solving, and critical thinking abilities. Strong interpersonal and communication skills with the ability to effectively manage difficult situations. Ability to prioritize multiple responsibilities in a fast-paced healthcare environment. Proficiency with electronic health record systems and other healthcare information systems and applications preferred. Knowledge of HIPAA, patient confidentiality, and regulatory requirements. Commitment to exceptional customer service and patient-centered care. Qualifications High school diploma or equivalent required. Associate or bachelor's degree preferred. Experience in a physician practice setting 2-3 years preferred. Previous experience in a physician practice in a supervisory role required. Experience with scheduling, registration, referrals, insurance verification, spreadsheets and word. Must type 55 words per minute Primary care experience preferred, Rheumatology experience or other specialty practice operations can be considered. . .
