THE OPPORTUNITY
At Bluestone Executive Communications, we help CEOs and other high-level leaders be at their best when it matters most, supporting them through earnings calls, media interviews, and high-stakes presentations. We're seeking a Part-Time Administrative and Financial Operations Coordinator who will thrive in our office's dynamic environment. This role is the heartbeat of daily operations-helping to ensure things run smoothly and our clients experience excellence at every touchpoint. We're prepared to provide training, if needed. Fit is the priority for us as we look for a bright, engaged, team player eager to help us deliver for our exceptional clients.
KEY RESPONSBILITIES
Office Operations and Logistics Document Control:
Prepare, manage, and track contracts, invoices, learning materials, and other essential client documents.
Inventory and Brand:
Manage company swag inventory and oversee in-office client hospitality.
Scheduling:
Coordinate calendars and logistics for our small team to ensure seamless scheduling and execution of client programs.
Financial Administration Accounts Payable:
Manage incoming invoices and help us ensure timely, accurate payment to vendors.
Payroll Support:
Interface with our payroll vendor to ensure accuracy for our small team.
Production and Client Support Program Preparation:
Assist with production of physical and digital learning tools for client workshops.
Client Programs:
On occasion, assist with on-site client programs.
QUALIFICATIONS AND SKILLS
On-Site Presence:
This is an in-office role, requiring reliability and a polished, professional demeanor.
Detail-Oriented:
The successful candidate will take pride in getting the small things right-from proofreading documents to processing invoices to ensuring the office setting and all else express our premier brand.
REQUIREMENTS
Strong organizational skills with the ability to manage multiple priorities simultaneously. Proficient in QuickBooks for managing client invoicing and basic bookkeeping. Solid computer skills (Microsoft Office, Teams, etc.) High level of discretion and professionalism when working around senior executives. Previous experience in an administrative, office assistant, or coordinator role is a plus. Communications, Business, or related degree preferred but not required. This is a part-time position with an opportunity to expand to full-time work. Ideal work hours are Monday through Thursday 10:00-3:00. However, for the right candidate, we will customize work hours to better work for you.
