Job Description

Located in Davisburg, MI, Springfield Charter Township is seeking an Administrative Coordinator to support the Township Treasurer and Clerk offices. This role helps keep daily township operations running smoothly by managing payments, financial recordkeeping, and office administration, while also serving residents, responding to public inquiries, and providing high-quality administrative support in a fast-paced, public-facing environment. The ideal candidate is highly organized, detail-oriented with financial and recordkeeping tasks, able to manage multiple priorities, maintain confidentiality, and deliver strong customer service. The Administrative Coordinator's primary responsibilities are to support payments, receipts, tax collection, financial recordkeeping, mail, office supplies, and general office efficiency. In addition, this position provides administrative support across multiple offices, including scheduling, correspondence, document preparation, records management, and meeting coordination. The Administrative Coordinator also serves as a first point of contact for residents, assists with phones and inquiries, prepares agendas and meeting materials, and helps ensure timely follow-up on assignments and projects. Additional responsibilities include supporting elections through notices, materials preparation, absent voter processing, election worker coordination, and polling preparation, while also providing backup coverage during peak periods and staff absences. This person works across departments, assist with public records requests, prepare reports and spreadsheets, help maintain compliance with records retention practices, and uphold professionalism, neutrality, and confidentiality in all interactions. Required Education, Skills, and Abilities for the Administrative Coordinator Position High school diploma or GED 3+ years of administrative, clerical, customer service, or related experience Proficiency in Microsoft Office (Word, Excel, Outlook) Basic accounting skills, including cash handling, receipting, and balancing transactions Strong attention to detail and ability to handle confidential information Experience with data entry, recordkeeping, and/or financial processes Ability to maintain confidentiality Physical Demands for the Administrative Coordinator Position This position operates primarily in an office and public-facing counter environment and requires frequent sitting, standing, walking, and use of standard office equipment. Duties may involve lifting and carrying materials such as files, boxes, or election supplies (up to 30 lbs.), as well as occasional pushing or pulling of heavier items. The role may require movement between township offices, meeting rooms, storage areas, and polling locations. Occasional evening and extended hours are expected during peak periods, including elections, tax deadlines, and board meetings.
