We are seeking an organized and dependable Administrative Coordinator to support daily office operations. This role will coordinate schedules, manage communications, maintain records, and provide administrative support to staff and management. The ideal candidate is detail-oriented, professional, and able to multitask effectively in a fast-paced environment.
Responsibilities:
Coordinate daily administrative and office operations. Answer, screen, and direct incoming calls, emails, and correspondence. Schedule meetings, appointments, deliveries, and other company activities. Maintain calendars, records, files, databases, and confidential documents. Prepare reports, spreadsheets, forms, correspondence, and other business documents. Perform data entry and maintain accurate information within company systems. Process purchase orders, invoices, expense reports, and other administrative documentation. Monitor office supply inventory and place orders as needed. Assist management and department supervisors with administrative projects and reporting. Coordinate employee paperwork, onboarding documentation, timekeeping, and personnel records as assigned. Maintain organized filing and recordkeeping systems. Communicate professionally with employees, customers, vendors, suppliers, and other business contacts. Coordinate inbound and outbound shipments and deliveries. Schedule carriers, freight companies, pickups, and deliveries. Prepare and maintain shipping, receiving, purchase order, and delivery documentation. Track shipments and provide status updates to customers and internal departments. Coordinate with warehouse personnel regarding incoming materials and outgoing shipments. Follow up with carriers and suppliers regarding delays, shortages, or delivery discrepancies. Enter and maintain logistics, shipment, and delivery information in company systems. Assist with inventory and material movement tracking. Prepare shipping, receiving, and logistics reports as required. Coordinate changes to delivery schedules, quantities, and priorities. Maintain accurate records of shipments, deliveries, freight activity, and related documentation. Address customer and vendor inquiries and assist in resolving routine administrative or logistics issues
Qualifications:
High school diploma or equivalent; a degree in business or a related field is a plus 1 to 3 years of experience in an administrative support or office management role.
Must have Proficient knowledge of:
Word Processing, Spreadsheets, E-mail, Order Processing, Database Software Office suites: Using Microsoft Office (Word, Excel, PowerPoint, Outlook) or Google Workspace.

Juggling schedules, data entry, and phone calls at the same time.
Time management:
Prioritizing urgent tasks to meet strict daily deadlines.
Attention to detail:
Ensuring accurate data entry, proofreading, and error-free documents.

$19.00 per hour
