Job Description
Description We are looking for an Administrative Coordinator to join our team on a long-term contract basis in Edina, Minnesota. This role requires a detail-oriented individual who excels at vendor research, data tracking, and maintaining relationships with service providers. The ideal candidate is tech-savvy, proactive, and comfortable using AI tools to enhance efficiency.
Responsibilities:
- Conduct thorough research to identify suitable vendors for various services, including plumbing, HVAC, landscaping, and electrical needs.
- Utilize online tools such as Google Maps and other technologies to evaluate vendor options and compile data into organized trackers.
- Develop and maintain strong relationships with vendors by ensuring contracts are updated annually and service quality is monitored.
- Collaborate with internal teams to script processes and implement efficient workflows.
- Apply creative problem-solving strategies to locate vendors in challenging geographical areas.
- Stay updated on advancements in AI technology and leverage tools such as co-pilot to optimize vendor sourcing.
- Handle administrative tasks such as scheduling, calendar management, and answering inbound calls.
- Ensure all documentation and databases related to vendor contracts are accurate and up-to-date.
- Provide consistent support in managing soft service lines to meet organizational needs.
- Monitor and report on vendor performance to ensure compliance with service agreements. Requirements
- Proven experience in administrative coordination or a similar role.
- Strong research skills, particularly in vendor identification and evaluation.
- Proficiency in using online tools and technology, including AI solutions.
- Ability to think creatively and solve problems in unique or challenging situations.
- Excellent organizational and data management skills.
- Strong communication abilities for maintaining vendor relationships and managing inquiries.
- Comfort with multitasking and handling various administrative responsibilities.
- Familiarity with calendar management and scheduling tools.
