Job Description We are looking for an Administrative Coordinator to support daily office and facility operations for a mission-driven non-profit organization in Minneapolis, Minnesota. This Contract position works closely with senior leadership to keep administrative processes organized, maintain a welcoming and efficient campus environment, and provide dependable coordination across teams. The role is well suited for someone who can balance front-desk support, scheduling, communication, and operational follow-through while helping create a positive experience for staff, residents, and visitors.
Responsibilities: Coordinate daily administrative activities across campus offices to help maintain smooth operations and consistent support for staff and leadership. Manage calendars, meeting arrangements, and scheduling priorities for the Executive Director and other campus leaders. Serve as a front-facing point of contact by greeting visitors, answering inbound calls, and directing questions to the appropriate team members. Handle incoming mail and deliveries, ensuring correspondence and packages are sorted and distributed accurately and promptly. Provide administrative assistance with documents, records, communications, and general office organization to improve workflow efficiency. Partner with leadership to support a safe, welcoming, and well-maintained environment for employees, families, and guests. Monitor office needs and help address operational issues proactively by coordinating with internal teams and campus support functions. Assist with reception coverage and routine office coordination tasks that contribute to an inclusive and well-organized campus culture. Experience providing administrative support in an office, campus, or community-based environment. Ability to manage schedules, coordinate meetings, and handle multiple priorities with strong attention to detail. Comfortable answering inbound calls, welcoming visitors, and providing attentive front-desk support. Proficiency in general administrative assistance, including document handling, correspondence, and record organization. Ability to distribute incoming mail and manage routine office logistics in a timely manner. Strong communication and interpersonal skills, with the ability to work effectively with leadership, staff, and families. Demonstrated reliability, sound judgment, and the ability to maintain a positive and service-oriented approach in a non-profit setting.
