Job Description

Adelante Restaurant Group is looking for an organized, dependable, and proactive Administrative & Operations Coordinator to support the day-to-day administrative needs of our growing restaurant organization. This position works across restaurants, leadership, accounting, vendors, employees, catering, and special projects. The right person enjoys creating order, keeping information organized, following through on details, and helping other people work more effectively. This is not simply a clerical position. We are looking for someone who notices what needs attention, communicates clearly, and takes ownership of getting things completed. What You'll Do Provide administrative support to company leadership Maintain organized company records and documents Help coordinate calendars, meetings, deadlines, and follow-up Prepare documents, reports, spreadsheets, and communications Maintain vendor and account information Organize invoices, receipts, statements, and administrative records Support communication with accounting and bookkeeping partners Assist with employee documentation and administrative onboarding Maintain organized personnel and training records Support restaurant licenses, permits, certificates, and renewals Track important deadlines and recurring responsibilities Help maintain company systems and shared files Coordinate information between restaurants and leadership Assist with purchasing and vendor communication Help organize catering, events, and special projects when needed Follow up on assigned projects and outstanding items Identify administrative processes that can be simplified or improved Handle company and employee information with appropriate confidentiality What We're Looking For Highly organized and detail-oriented Dependable and consistent Professional communicator Strong follow-through Comfortable managing multiple priorities Able to work independently Proactive rather than waiting for every task to be assigned Comfortable with spreadsheets, documents, email, and business software Able to learn new technology quickly Careful with confidential and financial information Comfortable communicating with employees, managers, vendors, and professional partners Interested in improving systems and processes Accountable for deadlines and responsibilities At least one year of relevant administrative, office, operations, hospitality, bookkeeping support, project coordination, or comparable experience is preferred. Restaurant experience is helpful but not required. Experience with QuickBooks, Paychex, 7shifts, MarginEdge, Toast, Google Workspace, Microsoft Office, or similar business systems is helpful. Candidates do not need experience with every platform. Strong performers may have opportunities to develop toward Office Manager, Operations Coordinator, Executive Operations, HR/People Operations, or other administrative leadership responsibilities as the organization grows.
