Company Overview Art of Dance is a vibrant, large dance studio located in Chester, NJ, serving over 400 students. We are dedicated to fostering a positive and energetic environment where students and their families feel welcomed and inspired. Our studio emphasizes excellent customer service, community engagement, and professional growth for our team members. Job Overview We are seeking a dynamic and detail-oriented Studio Operations & Administrative Coordinator to join our team part-time. This role is vital in ensuring smooth daily operations, providing exceptional customer support, and maintaining efficient administrative processes. The ideal candidate will be proactive, highly organized, and possess strong communication skills to support our studio's growth and positive atmosphere. The Art of Dance is looking for a highly organized, dependable, detail-oriented individual to join our team as a Studio Operations & Administrative Coordinator. This is an important position responsible for helping keep the business organized, financially accurate, and running smoothly. This is not a traditional front-desk position .
Responsibilities Include:
Monthly tuition billing and account management Processing new student enrollments and fees Following up on outstanding and declined payments Processing recital payments Tracking private lesson payments Running weekly financial, enrollment, and class reports Assisting with payroll preparation and entering hours into ADP Maintaining accurate student and financial records Reviewing enrollment and recital information Preparing monthly birthday reports and mailings Maintaining spreadsheets and administrative systems Helping coordinate studio supplies and deliveries Monitoring the studio environment and reporting maintenance needs Keeping designated areas organized and running smoothly Assisting the Studio Director with administrative projects
We Are Looking For Someone Who:
Is exceptionally organized and detail-oriented Is comfortable working with numbers and financial information Has excellent follow-through Can work independently and take initiative Is comfortable learning and using computer software Communicates professionally with parents and staff Can manage multiple responsibilities and deadlines Takes pride in accuracy and getting things done correctly Notices what needs to be done without always being asked Previous experience in office administration, bookkeeping, accounts receivable, payroll, school administration, business administration, or operations is a plus. Experience with DSP, ADP, Clover, Excel/Google Sheets, or similar software is helpful, but we are willing to train the right person. Part-time to start, with the potential for additional hours based on experience and the needs of the studio. Competitive pay based on experience Duties Manage front desk operations, including greeting clients and handling inquiries with professionalism and enthusiasm Handle office management responsibilities such as filing, organizing documents, and maintaining office supplies Provide exceptional customer service by assisting clients with registration, class information, and general inquiries Support event planning efforts for recitals, open houses, and other studio events by coordinating logistics and communications Maintain confidentiality of sensitive information while ensuring all administrative tasks are completed efficiently If you are the kind of person who loves organization, accuracy, numbers, and making sure everything gets done, we would love to hear from you!
