You'll assist families during important moments while supporting the daily administrative operations of both the cemetery and crematory. This is strictly an administrative office position. No cemetery grounds work or crematory operation duties are assigned to this role. Position Overview The Administrative Services Coordinator reports directly to the Assistant General Manager and serves as a key member of the front-office team. Success in this role is measured by outstanding customer service, accurate administrative support, and the ability to efficiently manage routine office responsibilities while supporting the overall operation. What You'll Do Answer multi-line telephone systems with professionalism and empathy Welcome families, visitors, funeral directors, and vendors Schedule appointments, interments, cremations, conferences, and approved service requests Receive incoming inquiries when other staff members are assisting families Review documents for completeness and accuracy Process receipts, invoices, and approved payments Assist with daily deposits and maintain accurate financial records Enter contracts, customer information, work orders, and case data Scan, organize, retrieve, and securely maintain digital and paper records Prepare correspondence, meeting materials, and website inquiry responses Assist visitors with cemetery locations and genealogy requests Order office supplies and maintain organized administrative files Communicate with compassion, professionalism, and discretion while maintaining strict confidentiality What We're Looking For Required High school diploma or equivalent Excellent customer service and communication skills Strong organizational and time management abilities Comfortable learning office software and technology Ability to manage multiple priorities while maintaining accuracy Professional written and verbal communication Ability to remain calm and compassionate when assisting grieving or distressed families Preferred Administrative, reception, customer service, or high-volume phone experience Experience with Microsoft Word, Excel, Outlook, and electronic records Bookkeeping or QuickBooks experience Experience in a cemetery, funeral home, medical office, legal office, or records management environment New Jersey Notary Public commission New Jersey Cemetery Salesperson License, or willingness to obtain when requested Physical Requirements Primarily an on-site office position Frequent sitting, standing, and walking Occasional lifting or moving office materials weighing up to approximately 30 pounds, with reasonable accommodation where applicable Schedule Expectations Regular Monday through Friday schedule Training includes planned independent coverage during four scheduled Saturdays and four scheduled Sundays for known staffing needs Additional weekend coverage opportunities may occasionally be offered but are not guaranteed or considered part of a regular schedule Overtime is paid in accordance with company policy and applicable law Benefits Eligible full-time employees may receive: Competitive hourly compensation Paid Time Off (PTO) Medical insurance Dental insurance 401(k) retirement plan with any applicable employer match Professional development and advancement opportunities Benefit eligibility and plan terms apply.
