Job Description

Position Summary The Administrative Coordinator provides comprehensive administrative and organizational support to the support office and its various departments. This position is responsible for helping maintain efficient office operations, coordinating schedules and meetings, managing information and documentation, and assisting team members with day-to-day administrative needs.

The ideal candidate is organized, dependable, detail-oriented, professional, and able to manage multiple priorities in a fast-paced environment. This role requires strong communication skills, discretion, follow-through, and the ability to work effectively with individuals at all levels of the organization. Essential Responsibilities Provide day-to-day administrative support to the support office and various departments. Answer and direct phone calls, respond to emails, and communicate information in a professional and timely manner. Coordinate meetings, appointments, calendars, conference rooms, and other office activities. Maintain organized electronic and physical files, records, forms, and documentation. Prepare, format, distribute, and maintain correspondence, reports, spreadsheets, and other documents. Perform data entry and maintain accurate information in company systems and databases. Assist with invoices, receipts, expense reports, purchase orders, and other administrative paperwork as assigned. Order and maintain office supplies and coordinate with vendors and service providers. Assist with company meetings, events, training sessions, and other special projects. Maintain calendars, deadlines, recurring tasks, and follow-up items. Assist with scheduling and coordination of internal and external meetings. Help facilitate communication between departments and ensure requests are directed to the appropriate person. Maintain confidentiality when handling sensitive company, employee, financial, or business information. Assist with various projects and administrative initiatives as assigned. Identify opportunities to improve organization, communication, and administrative processes. Perform other duties as assigned. Qualifications High school diploma or equivalent preferred. Previous administrative, office, customer service, or coordination experience preferred. Strong organizational and time-management skills. Excellent verbal and written communication skills. Strong attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Professional, positive, and dependable demeanor. Ability to maintain confidentiality and exercise good judgment. Proficiency with Microsoft Office or similar office software. Ability to learn new software, systems, and procedures quickly.

Ability to communicate effectively by phone, email, and in person. Occasional lifting or moving of office materials and supplies may be required. Position Success Success in this position means keeping the office organized, ensuring administrative tasks are completed accurately and on time, maintaining clear communication, and providing dependable support to the team and organization.
Pay:
From $17.00 per hour
