Purpose of Job:
We are seeking a professional, organized, and personable Leasing & Administrative Coordinator to support the day-to-day operations of our property management company. This position combines leasing responsibilities with general office and property management administrative support. The ideal candidate is comfortable working with prospective and current residents, managing multiple priorities, maintaining accurate records, and providing excellent customer service. This individual will play an important role in the leasing process while also helping keep the office organized and property management operations running efficiently. Key Responsibilities Leasing & Resident Relations Respond to leasing inquiries by phone, email, and online platforms in a timely and professional manner. Communicate with prospective residents and provide information regarding available apartments, rental rates, amenities, and leasing requirements. Schedule and conduct property and apartment tours. Follow up with prospective residents and maintain organized records of leasing activity. Assist prospective residents with rental applications and required documentation. Process applications and coordinate screening and approval procedures in accordance with company policies. Prepare leases, renewals, addendums, and other leasing-related documents. Coordinate lease signings and resident move-ins. Maintain accurate availability, prospect, and leasing information within the company's property management software. Assist with apartment listings and online advertising and ensure availability information remains current. Communicate with current residents regarding renewals, general questions, and property-related matters. Provide a welcoming and professional experience for prospective and current residents. Administrative & Office Support Answer incoming telephone calls and direct inquiries to the appropriate team member. Monitor and respond to general office emails and correspondence. Maintain organized electronic files Enter and update resident, property, vendor, and leasing information in company systems. Prepare letters, notices, forms, reports, and other correspondence as needed. Assist property managers with administrative tasks and day-to-day property operations. Coordinate appointments, inspections, meetings, and other scheduling needs. Assist with maintaining office supplies and general office organization. Communicate with maintenance personnel and vendors regarding resident requests and property needs. Maintain confidentiality of resident, applicant, employee, and company information. Perform additional administrative and property management duties as assigned. Qualifications Previous experience in property management, leasing, real estate, customer service, or office administration is preferred. Strong customer service and interpersonal skills. Professional and courteous communication skills, both written and verbal. Strong organizational skills and attention to detail. Ability to manage multiple responsibilities and prioritize tasks in a busy office environment. Comfortable communicating with residents, prospective residents, vendors, and coworkers. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Ability to learn and effectively use property management and leasing software. Dependable, punctual, and able to work both independently and as part of a team. High school diploma or equivalent required; additional education or relevant industry experience is a plus. Communicate effectively with residents, coworkers, vendors, and prospective residents. Identify tasks that need attention and take initiative to help keep the office running smoothly. Work Environment This is primarily an office-based position with regular interaction with residents and prospective residents. The position may require walking properties, showing apartments, inspecting units, and traveling between managed properties. Some flexibility may be required during periods of high leasing activity, resident move-ins, or other operational needs.
