Administrative Coordinator Energy Service Technologies (EST)
Location:
Barneveld, NY Job Type:
Part-Time (20-25 hours/week) with opportunity to grow into Full-Time Help keep a growing local business running smoothly. We're looking for a highly organized Administrative Coordinator who enjoys solving problems, helping customers, and making sure every project stays on track. Energy Service Technologies (EST) is a growing insulation and energy efficiency company serving homeowners throughout Central New York. We help families improve comfort, lower energy bills, and make their homes more efficient through insulation, air sealing, and NYSERDA energy programs. We're looking for an organized, dependable person who enjoys helping people, solving problems, and keeping projects moving from start to finish. What You'll Do As our Administrative Coordinator, you'll support our office, customers, auditors, and installation crews by keeping projects organized and on schedule.
Responsibilities include:
Answer customer phone calls and emails Schedule appointments and send reminders Follow up on missing paperwork and unsigned agreements Create and organize customer files Prepare audit folders and work orders Upload photos and project documents Update customer information in HoneyBook Assist with NYSERDA paperwork and project tracking Support invoicing, payment entry, and general office organization Help improve office processes and workflow What We're Looking For We're looking for someone who is: Highly organized and detail-oriented Friendly and professional with customers Comfortable learning new software Able to manage multiple priorities A self-starter who takes ownership of their work Preferred Qualifications 3+ years of administrative or office experience Strong computer and Microsoft Office skills Experience with CRM software (HoneyBook, Jobber, Salesforce, etc.) QuickBooks experience is a plus Customer service or scheduling experience No experience with NYSERDA is required—we'll provide training.

Pay:
$24.00 - $27.00 per hour Expected hours: 20.0 - 30.0 per week
