Job Description

Position Summary Pronto of Long Island is seeking a highly organized, customer-focused, and compassionate Community Access & Administrative Coordinator to oversee the daily administrative operations of the front office while coordinating client intake and access to services. This dual-role position serves as the first point of contact for clients, visitors, volunteers, donors, and community partners, ensuring a welcoming, professional, and efficient office environment. The Community Access & Administrative Coordinator is responsible for managing client service operations, supervising administrative processes, coordinating client intake and eligibility screenings, maintaining agency records, overseeing reception functions, supporting office logistics, and connecting individuals and families with Pronto's programs and community resources. This position requires exceptional organizational skills, professionalism, discretion, and the ability to effectively balance administrative responsibilities with direct client services. The successful candidate will possess strong leadership, communication, and problem-solving skills while demonstrating compassion, cultural sensitivity, and a commitment to serving diverse populations experiencing food insecurity, financial hardship, housing instability, and other social challenges. Essential Duties & Responsibilities Oversee daily front office operations to ensure efficient workflow and exceptional customer service. Serve as the primary point of contact for clients, visitors, volunteers, vendors, and community partners. Maintain a welcoming, organized, and professional office environment. Coordinate reception coverage, office procedures, supplies, facility maintenance, and meeting logistics. Support leadership with administrative projects, reports, correspondence, and special assignments. Maintain office records, filing systems, and confidential documentation in compliance with agency policies. Conduct client intake, needs assessments, eligibility screenings, and maintain accurate electronic records. Assist clients with applications, explain available services, and connect individuals to internal and external community resources. Coordinate appointments, client check-in, and referrals while maintaining strict confidentiality. Support daily pantry operations, client-choice shopping, emergency food distributions, and special events. Answer phones, manage correspondence, schedule appointments, and maintain agency databases and administrative records. Prepare reports, assist with data collection, grant reporting, audits, and program compliance. Foster positive relationships with clients, staff, volunteers, and community partners while providing exceptional customer service. Participate in staff meetings, training, outreach events, fundraising activities, and agency initiatives. Provide day-to-day coordination and workflow guidance to reception staff, volunteers, interns, and administrative support personnel. Perform other duties as assigned to support the mission and operations of Pronto of Long Island. Minimum Qualifications Associate's degree or two (2) years experience in health & human services required; Bachelor's degree preferred in Human Services, Business Administration, Public Administration, Social Work, Psychology, Healthcare Administration, or a related field. Minimum of three (3) years of progressively responsible experience in office administration, nonprofit administration, customer service, human services, healthcare, or related fields. Minimum of one (1) year of experience conducting client intake, eligibility determination, or case management preferred. Previous experience supervising office operations or administrative staff is preferred. Fluent bilingual proficiency in English and Spanish (speaking, reading, and writing) is required. Valid New York State driver's license preferred. Qualifications Bilingual in English and Spanish with excellent written and verbal communication skills. Strong leadership, organizational, customer service, and office administration skills. Ability to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality. Proficient in Microsoft Office Suite and electronic client record systems. Experience with nonprofit or community-based organizations preferred. Strong problem-solving, analytical, interpersonal, and time management skills. Ability to work independently and collaboratively in a team environment. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to lift up to 25 pounds occasionally. Ability to assist with pantry operations, agency events, and work occasional evenings or weekends as needed. $20.00 - $26.00 per hour
