Duties and Responsibilities include the following; other duties may be assigned: The Deputy Director of Legal Administration develops short and long-range legal support program objectives, initiatives and procedures, implement enhancements, refine systems, and continuously evaluate program effectiveness to ensure the delivery of consistently exceptional support services by performing the following duties. Responsible for supervision of office support staff in our Syracuse, Buffalo, and Rochester New York offices. Serves as backup to the Business Operations Manager of Legal Administration who oversees the entire legal support staff function of the firm. Management duties include interviewing, hiring, coaching, mentoring and providing formal performance evaluations on an annual basis to improve the performance of the legal support staff team. Ensures all office legal support staff are well trained in applicable areas. This includes developing training plan for new legal support staff. Ensure proper time entry/clock-in system for support staff. Develop and implements standardized and efficient office procedures in conjunction with the Chief Administrative Officer as needed. Responsible for case file management and retention strategies and SOP compliance. Communicates with the Chief Administrative Officer on performance appraisal, terminations, discipline, conflict resolution, employee grievances, and job assignments for the office legal support staff. Plans meetings, monthly office visits, and policy and procedure development for the office support staff. Travel to respective office locations in Syracuse, Rochester and Buffalo, New York no less than once per month, as required by the Chief Administrative Officer, to inspect and ensure that operations comply with firm standards. Ensures office area is maintained and organized working in conjunction with the Operations Department. Responsible for face-to-face interaction and coordination of work with other employees. In person attendance to meetings and/or in office training events on a weekly and often daily basis. Responsible for analyzing and opportunity management of Replenishment and Account Receivable funds collection on a daily basis. Produce Monthly Reporting Briefs and Quarterly Briefs on Legal Administrations for Chief Administrative Officer and Global Chief Operating Officer review. Responsible for performance management of all legal support staff. Ensure proper payment to Legal Administration Vendors are completely timely. Responsible for legal support department budget compliance and development.
Qualifications and Experience:
BA/BS in business or related field, candidates with an MBA are preferred. At least 5 years in a management role, ideally in a law firm or professional services office environment. Leadership qualities, results oriented, analytical and abstract reasoning skills. Experience with technology, proficient in Microsoft Office to include Microsoft Excel. Excellent communication and organization skills.
