Monday-Friday HTA of New York is seeking an organized, detail-oriented Evaluation & Administrative Coordinator to support our Early Intervention program in Rockland County. This position plays an important role in coordinating evaluations , managing case documentation and authorizations, tracking deadlines, and supporting communication between families, providers, evaluators, Service Coordinators, and county representatives . The ideal candidate is highly organized, comfortable managing multiple cases and deadlines, and able to communicate effectively with a variety of professionals and families. Experience working within the New York Early Intervention system (EI- HUB) is a plus. Key Responsibilities Early Intervention Case & Authorization Management Monitor and process incoming Early Intervention cases and authorizations through EI-HUB . Coordinate new case intake and case setup, including entering children and authorizations into CLAIMS . Update existing authorizations and case information as needed. Maintain accurate case documentation across EI-HUB, electronic files, and OneDrive. Distribute necessary case information to Service Coordinators and providers. Provide case and authorization support in collaboration with the EI Program Manager. Case Tracking & Documentation Maintain tracking systems for active Early Intervention cases. Monitor review dates, medical documentation, prescriptions, authorizations, and other required paperwork. Identify missing, late, or expiring documentation and follow up with the appropriate parties. Prepare and submit required case documentation and review information to the Rockland County Department of Health and Early Intervention Official Designees (EIODs) . Track children transitioning from or exiting the Early Intervention program and ensure required exit documentation and surveys are completed. Evaluation Coordination Process incoming evaluation referrals and assign cases to designated evaluators. Coordinate with families, pediatricians, and evaluators to obtain medical information, consent forms, prescriptions, and supporting documentation. Enter and maintain evaluation information, dates, and authorizations in EI-HUB and CLAIMS. Review evaluation reports for completeness and accuracy and coordinate corrections when needed. Compile and submit completed evaluation packets through EI-HUB. Provide required evaluation documentation to families. Maintain evaluation tracking tools to support timely completion and submission. Program Support & Compliance Work closely with the EI Program Manager and Service Coordinators to support timely case progression. Help resolve administrative, documentation, and authorization issues. Stay informed of Early Intervention policies, regulations, procedures, and system updates. Maintain accurate and organized records in accordance with program requirements. Support compliance, continuity of services, and general Early Intervention operations. Communication & Collaboration Maintain regular communication with the EI Program Manager regarding cases, evaluations, authorizations, documentation, and program updates. Collaborate with Service Coordinators, providers, evaluators, families, county representatives, and internal team members. Provide timely follow-up and clear communication to help ensure cases and evaluations progress efficiently. Preferred Qualifications Bilingual Spanish/English strongly preferred. Previous experience as an Official Service Coordinator (OSC) is preferred, but not required . Experience working in Early Intervention, healthcare, education, human services, case management, or a related administrative role is a plus. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to manage multiple cases, deadlines, and priorities simultaneously. Strong attention to detail and accuracy. Comfortable working with electronic databases, documentation systems, and Microsoft Office/Google Workspace. Ability to work collaboratively with families, providers, evaluators, and administrative teams. Why Join HTA of New York?
