Administrative Coordinator - Part Time Strategies to End Homelessness - 4.0 Cincinnati, OH Job Details Part-time 20 hours ago Benefits Paid holidays Disability insurance Health insurance Dental insurance Paid time off 401(k) matching Qualifications Managing executive calendars Full Job Description Position Overview The Administrative Coordinator is a part-time staff level position (20 hrs/week) at Strategies to End Homelessness (STEH) designed to support the organization by providing overall administrative and office coordination and providing scheduling to executive and director level staff. This position requires being at our office in Walnut Hills, Cincinnati, Ohio on weekdays.
Key Responsibilities Scheduling Duties:
Schedule meetings for executives and some director-level staff members. Both one-on-one and group meetings, requiring communication with a variety of people both inside and outside of the organization. Use schedule polling software, email, the phone, and Outlook Calendar to set up meetings.
IT Coordination:
Assist IT with issuing and receiving IT equipment. Keep IT log updated and accurate. Periodically check equipment deployed in the office to ensure that each workstation has the correct IT equipment.
Office Coordination:
Open and process mail, checks, invoices, and correspondence for the organization. Monitor and order office, breakroom, and meeting supplies. Manage the two conference rooms; ensuring they are ready for meetings/events. Building maintenance liaison - main point of contact for all maintenance reports and issues. Assist HR in new employee onboarding/offboarding as requested. Monitor, forward, and reply to the organization's main email account. Greeting guests at the door. Answering and routing the main phone line. Talking to people who are in crisis and looking for services and connecting them to our Helpline.
Fundraising Team Support:
Mailing out grant and donor acknowledgement/thank you letters. Managing fundraising materials and stamps. Other Duties as assigned.
Qualifications:
Education & Experience:
3-5 years of experience in an administrative assistant, office manager, receptionist, executive assistant, or similar role. Experience managing calendars and scheduling meetings for executives or senior leaders. Experience utilizing software and IT equipment needed for meetings and scheduling.
Skills & Abilities:
Empathy and compassion for the challenges faced by people experiencing homelessness. Excellent written and verbal communication. Warm, welcoming, and professional when interacting with visitors, donors, board members, and staff. Able to manage multiple priorities. Strong attention to detail, especially when handling checks, scheduling, and donor communications. Proactiveness with managing office operations and meeting logistics. Proficiency with Microsoft Outlook, Word, Excel, Teams, and office meeting equipment. Ability to work independently and approach challenges with a positive attitude.
